Job Description:

The purpose of this position is to provide administrative support to the Manager of Lease Administration and Compliance (“MLAC”) and the MLAC Team. This includes but is not limited to administrative support associated answering the telephones, preparing and distributing written correspondence, reports and letters, filing, performing title and legal research and other responsibilities as assigned. This position also provides support and acts as a back up to the additional Lease Administration and Compliance areas, such as the Tenant Lease Administrator, Lease Compliance Analyst and Due Diligence Specialist.

 

Additional responsibilities include:



  • coordinating execution and distribution of legal documents


  • processing invoices and check requests for payment


  • analyzing legal documents and title documents related to Publix properties


  • inputting and maintaining data into various reports and systems related to Publix properties


  • maintaining and distributing reports related to loans, entities, and critical dates


  • reviewing and providing guidance regarding work assignments for Tenant Lease Administrators


  • maintaining MLAC Team SharePoint page and acting as a system Power User for MLAC Team


  • handling other responsibilities and special projects as assigned


  • high school diploma or equivalent

  • six month experience performing clerical and secretarial duties

  • accurate typing skills

  • strong analytical and problem solving skills

  • detail oriented

  • organizational skills

  • strong verbal and written communication skills

  • professionalism and confidentiality

  • basic skill level of Microsoft Office Programs, including Word, Excel, PowerPoint, etc.

  • ability to handle a high volume of work assignments accurately and effectively

  • ability to work overtime and have a flexible schedule, if needed

  • good human relations skills and the ability to work well with others and be a team player


  • Associate degree in legal or business related field

  • six months of experience working at Publix performing secretarial and/or clerical duties

  • paralegal background or certification preferred

  • knowledge of lease and title documents

  • knowledge of Real Estate department processes and procedures

  • knowledge of Lease Administration best practices

  • intermediate skill level in SAP, SharePoint, and BrassRing

  • advanced skill level in Compass
