Job Description:

The Special Projects Coordinator will support the organization's culture and organizational goals by facilitating event coordination between internal and external organizations and individuals. Work is performed independently under the general supervision of the President. This position will also provide administrative support to one or more corporate executives and works with other members of the executive team as needed.


Responsibilities:


  • Perform basic administrative functions associated with event coordination such as preparing program/event modifications, reviewing, and approving purchases, requisitioning supplies and equipment, agenda development, speaker identification, event evaluations, preparation of printed materials, attendee communications, and group registrations.

  • Coordinates invitations, registrations, hotel reservations, and travel for employees as needed.

  • Serves as liaison with contractors: hotel, AV, travel agency, ground transportation, etc.

  • Administers post-meeting activities including evaluation analyses.

  • Works closely with accounting to ensure correct distribution of meeting/event expenses to appropriate projects. Produce project budgets for individual events when applicable.

  • Takes initiative to establish priorities and schedule, manage workload, accomplish tasks, and identify opportunities for improvement.

  • Provides responsive and timely feedback on status and progress of work activities.

  • Establishes and maintains effective working relationships with branch personnel, organizers of events, local businesses, media, and community groups.

  • Creates and provides reports, annual company award applications, and prepares marketing/promotional material as needed.

  • Other duties may be required and assigned, to include supporting the President and other business functions (ex. HR, Safety, Workforce Development, Marketing) as needed.

  • Manages PPC Foundation Grant Program. Researches and recommends opportunities for special events and community partnerships with outside organizations (ex. United Way).

  • Manages the MPI request for charitable contributions and coordinates submissions for annual review.

  • Ensure individual employee charitable contributions are submitted for matching funds.
