The University of North Carolina at Chapel Hill School of Nursing has been the leader in nursing education in North Carolina throughout its history. The Administrative Support Associate is the central contact and a major resource for activities surrounding the Dean's Office in the School of Nursing. On a daily basis, many students and faculty come to the Dean's Office seeking information, counsel and assistance. The Administrative Support Associate must deal with each inquiry on an individual basis. The Administrative Support Associate helps to coordinate the majority of internal school-wide functions. The work performed by the Administrative Support Associate is completed with oversight from the Executive Assistant who sets priorities for the Dean's office.The Administrative Support Associate has daily contact, in person and by telephone, with 1) University administrators, faculty, staff, and students, 2) public officials at all levels of government, 3) vendors, 4) members of the general public representing a wide variety of groups and interests, and 5) visitors to campus. She/he represents the Dean of the School and may be the only contact outsiders have with the School of Nursing.The Administrative Support Associate provides administrative and secretarial support to the Dean through the duties covered under Public Contact as well as 1) composing correspondence for final signature and 2) compiling, summarizing and presenting background information for projects as requested and compiles and summarizes reports responding to requests for information made to the Dean from school/university administrators/external constituencies.The Administrative Support Associate maintains the official minutes file for committees. She/he provides administrative and secretarial support for faculty meetings (Faculty/Staff & FEC), as well as scheduling and taking minutes for each of these meetings. The Administrative Support Associate manages the daily needs with the Dean's Office. Examples include: screening incoming phone calls/mail, basic calendaring for the Dean's calendar (under the supervision of the Executive Assistant), organizes office records and official files within the Dean's Office; managing and ordering office supplies, records retention activity, and hiring, supervising and evaluating work-study students and student volunteers.The Administrative Support Associate provides support through her/his involvement with office operations, resource provisions and public relations. She/he shows leadership through her/his involvement related to school-wide assessment/planning, coordination/integration and school representation.
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Candidate must be customer service oriented. Candidate must have ability to work independently or as a team. Must have excellent organizational skills and the ability to plan effectively. Must be able to interact on a professional level. Must be able to problem-solve and show personal integrity. Must be able to pay attention to detail.Experienced in Word, Excel, PowerPoint and Outlook.
Experience in an office environment. Experience taking meeting minutes, coordinating international travel and experience with Connect Carolina.
