We are seeking a Project Assistant to support health and disability contracts and business operations. The successful candidate should meet the requirements outlined below and be comfortable performing the responsibilities associated with the role. This position supports multiple contracts with Federal programs and initiatives aimed at improving health, welfare, and community integration for persons with disabilities and older adults. A Bachelor's degree in social work, public health, business, or a related field is preferred. This is an entry-level position with opportunities for growth.
Responsibilities of the Project Assistant:
Work both independently and as part of a team to support project teams in the following areas:
Communications
Maintain and update detailed contact lists for various stakeholders, ensuring accuracy and completeness
Manage the distribution of internal and external communications, ensuring timely delivery to the appropriate parties
Distribute electronic surveys, track responses, compile results, and assist in preparing summary reports to inform project outcomes
Develop clear and concise communications materials such as newsletters, memos, and announcements
Meeting Management and Support
Coordinate, schedule, and host virtual webinars and teleconferences, ensuring seamless execution and troubleshooting technical issues as needed
Provide onsite support for in-person meetings, including room setup, technical assistance, and materials distribution
Take detailed notes during meetings and draft comprehensive summary reports or minutes, highlighting key takeaways and action items
Project Coordination Support
Assist team members and clients with accessing secure systems by managing passwords and troubleshooting access issues
Maintain and regularly update an online library of project-related documents, ensuring all materials are current and organized for easy access
Coordinate and manage travel arrangements for team members, including booking transportation, lodging, and ensuring compliance with travel policies
Organize and maintain electronic files on the shared drive, ensuring documents are filed appropriately and accessible to the team
Provide general administrative support, including formatting, proofreading, and finalizing deliverables such as reports, presentations, and proposals
Requirements of the Project Assistant:
1-3 years of relevant work experience in an administrative or project support role
Mastery of Microsoft Word, PowerPoint, and Excel, with the ability to create polished and professional documents and presentations
Familiarity with Zoom, Teams, and other virtual meeting platforms, including the ability to troubleshoot common technical issues
Strong organizational skills, with the ability to collect, organize, analyze, and disseminate information effectively, maintaining high attention to detail and accuracy
Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely
Strong time management and multitasking abilities, with the capability to prioritize tasks across multiple projects and meet deadlines
Ability to work independently while also contributing as a valuable team player
A customer-friendly attitude, with the ability to interact professionally with clients and stakeholders
