Major Responsibilities


  • Maintain and handle the scheduling of all meetings and appointments in an extremely busy and constantly changing environment/calendar.

  • Develop and maintain strong collaborative relationships with multiple internal and external constituencies. (Internal: Sales, Marketing, Client Service, Portfolio Research, RFP, Compliance, HR, Operations) (External: Company representatives, Sell side Brokers, 3rd Party Research, Independent IR firms)

  • Diligent and effective gatekeeping, triage, and prioritization via phone, email, etc.; responsible for managing all business correspondence.

  • Arrange complete travel itineraries for all trips; proactively monitor travel schedules for interruptions and execute necessary adjustments.

  • Organize and arrange both onsite and offsite meetings across multiple states/cities for multiple purposes (fundraising, research etc.)

  • Process invoices, travel and expense reports.

  • Assist with maintaining numerous files and records. (both electronic and tangible)

  • Welcome and look after office visitors.

Requirements


  • Bachelor’s degree required.

  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software.

  • Strong organizational, verbal and written communication and interpersonal skills.

  • Ability to anticipate needs and proactively take action to keep things moving.

  • Proven record of successful problem solving.

  • Adaptable, flexible to changes and the ability to work in a fast-paced environment.

  • Ability to work under deadlines and to accommodate last-minutes changes.

  • A strong service orientation remains calm under pressure and has a positive, can-do attitude.

Compensation Range:

Pay: $60,000-$80,000 annually with opportunity for a discretionary bonus.
