Job Summary

The Proposal & Marketing Manager will report directly to the Director of Marketing. The group operates under a flat structure, providing the successful candidate with regular visibility and direct access to various corporate contacts. We are looking for someone that has the experience and ability to take an opportunity from start to finish and support and coordinate the production of various marketing, proposals and sales resources, training materials, and tools such as proposals in response to formal RFPs, presentations, video, pitch decks, etc. in response to different corporate needs.

The Proposal & Marketing Manager will interface with business development, operations, HSE, finance, and other business units to ensure accuracy of information, support requests for information, assist with strategy implementation and process awareness throughout the organization. They should have an eye for detail and be able to originate their own quality content, as well as perform quality reviews on work to catch layout, grammar, spelling, typographical and punctuation errors.

The successful candidate will be a self-starter who enjoys working in a fast-paced environment, has a strong commitment to deadlines and teamwork, is process oriented with a high sense of ownership in their work, possesses a high degree of intellectual curiosity, and has a strong communications/marketing foundation.

This position offers a hybrid work structure, allowing flexibility to work remotely or from the office based on business needs. While remote work is an option, working from the office is encouraged for tasks requiring high collaboration or on-site completion. Office attendance can vary weekly, typically ranging from 2 to 5 days in any given week.

Core Responsibilities

  • Lead and/or supporting all phases of the proposal process (including writing, designing, and managing) for high-value or designated deal pursuits (both public and privately originated RFP's, RFQ's, etc.) from corporate development and other areas of the company as requested.
  • Deliver key aspects of each proposal, including submission/response timeline and plans.
  • Prepare, organize, and maintain an inventory of standard proposal collateral based on team feedback to streamline proposal preparation.
  • Update standard proposal templates and disseminate them across the organization as needed.
  • Track and manage tenders through award.
  • Assign and disseminate tender preparation actions.
  • Coordinate weekly/monthly deal proposal meetings with deal teams of different partner organizations and proactively seek their inputs as needed.
  • Manage and facilitate the standing and as-needed tendering update and review meetings.
  • Tracks and reports on success metrics.
  • Align with Director of Marketing (DOM) prior to CenTrio Senior Management engagement in establishing and managing the proposal strategy and driving compliance with all relevant stages of the proposal process.
  • Submit work to DOM for review and final approval prior to roll-out of work to Senior Management and external parties.
  • Conduct post-submission and post-award debriefs and participate in lessons-learned activities
  • Organize and maintain proposal folders on filesharing system.
  • Create, develop and write content and materials for various items but not limited to case studies, technical briefs, company and customer newsletters, website messaging, pamphlets, etc.
  • Provide technical writing support for social media, trade shows and other various events and marketing campaign development (P3).
  • Assist and support various tradeshows and events. Attendance to event and tradeshows is determined by the DOM.
  • Work closely with other regional offices and the Business Development Team that is responsible for regional organic growth.
  • Support update / standardization of tendering process, internal procedures, work instructions
  • Contribute to Weekly and Monthly internal reporting.
  • Provide leadership and guidance to the extended proposal team, including developers, engineers, project managers, finance, operations, and human resources, during the proposal preparation.
  • Drive innovation and customer value across target sectors.

Professional Experience & Knowledge:

  • Bachelor's Degree with a background in English, Communications, Marketing, Journalism or another related field.
  • 5-7 years of experience in a relevant role.
  • Experience in the energy industry, including Public-Private Partnerships (P3) and traditional models is preferred.
  • Certification by Association of Proposal Management Professionals is preferred.
  • Association of Proposal Management Professionals (APMP) practitioner certification, Certified Professional Services Marketer (CPSM) certification or equivalent is preferred.
  • Experience leading tendering teams in a fast paced and challenging environment.

Technical Skills & Requirements:

  • Strong Experience with full suite of Microsoft (Outlook, Word, Excel, SharePoint, PowerPoint), Adobe Acrobat, Adobe InDesign, Adobe Illustrator, Visio, etc. Graphic Design experience a plus.
  • Knowledge of RFP management software such as QorusDocs, Loopio, etc.
  • Knowledge of marketing procedures, document and presentations, booklets, printing and production, proposal processes / proposal quality in professional services.
