Position Overview:

We are seeking a highly organized, detail-oriented, and proactive Office Manager and Executive Administrator to join our team. This role will be responsible for ensuring the smooth running of daily office operations, providing high-level administrative support to our executive leadership, and offering HR support. The ideal candidate will possess excellent multitasking skills, strong communication abilities, and a knack for problem-solving.

Key Responsibilities:

Office Management:
  • Oversee the daily operations of the office, ensuring a well-organized and efficient work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate office maintenance and repairs.
  • Ensure compliance with health and safety regulations.
  • Assist with event planning, including team meetings, conferences, and corporate events.
  • Manage office budget, including tracking and reporting on office-related expenses.
  • Assist in the recruitment process, including posting job openings, scheduling interviews, and coordinating candidate communications.
  • Support the onboarding and offboarding processes, including preparing employee documentation and setting up IT access.
  • Maintain accurate and confidential employee records, including tracking vacation, sick time, and other leaves.
  • Coordinate employee training sessions and track completion of compliance courses.
  • Promote positive workplace culture by organizing team-building activities, celebrations, and recognition programs.
  • Coordinate onboarding for new hires, ensuring they have the necessary resources to succeed.

Executive Administrative Support:
  • Provide administrative support to C-level executives, including managing calendars, scheduling meetings, and making travel arrangements.
  • Prepare expense reports and ensure timely submission for executives.
  • Prepare and edit correspondence, presentations, and reports.
  • Serve as the point of contact for executives, handling inquiries and requests.
  • Coordinate and prioritize meeting agendas and minutes, ensuring timely follow-up on action items.
  • Assist with confidential matters, exercising discretion and maintaining confidentiality at all times.
  • Conduct research and compile data as needed for executive projects and decision-making.

Qualifications:
  • Proven experience as an Office Manager, Executive Assistant, or similar administrative role.
  • Experience in providing HR support or coordination.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to work independently, take initiative, and anticipate needs.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HR software (e.g., ADP, BambooHR) is a plus.
  • Strong problem-solving skills and attention to detail.
  • Professional demeanor and the ability to handle sensitive information with discretion.
  • Experience with budget management, event planning, and HR processes is preferred.
  • Must be able to obtain and maintain US government security clearance.

Education & Experience:
  • Bachelor's degree in Business Administration, Human Resources, Management, or a related field is preferred but not required.
  • Minimum of 3-5 years of relevant work experience, including HR support experience.
