Key Responsibilities of the Office Services Manager:
Cultivates strong relationships with vendors, negotiates service contracts, and manages expenses to optimize office services.
Manages the budget for office services and ensures accurate processing of invoices.
Keeps a close eye on office supplies, reordering as needed to ensure the team has everything they need.
Handles all aspects of mail distribution, including packages and courier deliveries, ensuring timely and accurate processing.
Sets up meeting spaces, including AV equipment, refreshments, and seating arrangements to ensure smooth and successful meetings.
Oversees the upkeep of the office, including coordinating repairs and servicing of equipment and furniture.
Guides and supports the office services team, including receptionists and coordinators, to foster an efficient and welcoming environment.
Acts as the primary contact for building management to handle any facility-related concerns.
Manages high-volume printing, binding, and document production needs to support various business functions.
Steps in to perform a variety of tasks as needed to keep the office running smoothly and efficiently.
Qualifications of the Office Services Manager:
At least 5 years of experience in office services management or a related role.
Bachelor's degree preferred.
Strong proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and experience with office equipment troubleshooting.
Exceptional organizational skills and the ability to multitask in a fast-paced environment.
Excellent communication skills and the ability to work effectively with all levels of staff and management.
