The Role
The Receptionist is a pivotal member of staff in any company. The Receptionist is the first point of contact for all visitors to the office or anyone contacting the organization, so being able to handle client-facing duties while remaining positive and polite are pivotal traits. The Receptionist is also responsible for various office management tasks which requires excellent multitasking skills and a strong work ethic.
Responsibilities
Meeting and greeting guests as they enter the office providing excellent hospitality and addressing their needs
Answering phone calls, taking messages, and distributing them accordingly
Management and coordination of the office's conference room calendar in Outlook
Order, maintain and stock all office/kitchen supplies as needed
Preparation of outgoing mail and courier requests
Operating, maintaining, and providing technical support for all office machines (copiers, Keurigs, Nespressos, water coolers, postage meter, etc.)
Open and distribute mail, deliveries, and faxes
Maintain tidiness in the conference rooms, kitchen, and reception area
Assisting departments with special, one-off projects
Assist with coordinating and setting up catering luncheons
Backup Executive Assistants phone lines
Master the conference room's A/V for presentations
Maintaining corporate phone list and seating chart
Complete invoicing for office supplies, FedEx accounts, postage meter, and messenger services
Requirements
Strong computer skills including Word, Excel, and Outlook
Strong organizational and time management skills
Excellent communicator, including via email, over the phone and in person
Ability to consistently handle a high-volume workload and be able to multi-task
Can-do attitude, motivated to succeed and passionate about helping others
