Job Description:

Ledgent Finance & Accounting, a trusted provider of staffing solutions, is seeking a skilled and detail-oriented Billing Specialist . The ideal candidate will work closely with with project managers to ensure accurate, timely, and compliant invoicing, and provide excellent client support.



Salary: $58,000- $62,000




Key Responsibilities





  • Invoice Generation: Prepare and issue invoices based on completed work for multiple construction clients, ensuring that billing aligns with contract terms, project milestones, and any applicable change orders.


  • Client Communication: Act as the primary point of contact for assigned clients, addressing billing inquiries and resolving discrepancies in a timely manner.


  • Compliance and Documentation: Ensure all billing is compliant with contractual obligations, industry standards, and legal regulations, including retention and lien waivers where applicable.


  • Project Cost Tracking: Collaborate with project managers and accounting teams to track project costs and ensure proper billing of labor, materials, and other project expenses.


  • Certified Payroll Billing: Work with clients to ensure proper invoicing for government projects, adhering to certified payroll and prevailing wage requirements when necessary.


  • Accounts Receivable: Monitor accounts receivable, follow up on unpaid invoices, and work with clients to resolve payment issues.


  • Report Preparation: Generate and provide clients with detailed billing reports, statements, and job cost breakdowns upon request.


  • Record Keeping: Maintain organized and accurate billing records for all clients, ensuring proper documentation is available for audits or client review.


  • Time & Material Billing: Handle time and material billing for projects, ensuring labor, equipment, and materials are properly documented and billed to clients.



Qualifications





  • Education: Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent experience may be considered.


  • Experience: Minimum of 2 years of billing experience in the construction industry


  • Software Proficiency: Experience with billing and accounting software (e.g., QuickBooks, Sage, Viewpoint) and familiarity with construction project management systems.


  • Knowledge: Strong understanding of construction billing practices, including progress billing, retention, and change orders.


  • Client-Focused: Ability to build strong relationships with clients and provide high-level billing support while managing multiple accounts.


  • Attention to Detail: Excellent attention to detail with the ability to work with large volumes of data while maintaining accuracy and compliance.


  • Communication Skills: Strong interpersonal and communication skills, with the ability to resolve billing issues professionally with clients and internal teams.
