Our client, an exciting and innovative venture capital firm is actively searching for a Front Office Coordinator to join their team in Palo Alto. This is a onsite 6-month contract role with the opportunity to become full-time with a superstar candidate! While this role is primarily focused on proving reception and general office support for an office of around 30 team members, you may also be tasked to provide basic executive support experience via calendaring, expense reporting, and light travel coordination for team members as needed. **Please note this is a 6-month onsite contract role in Palo Alto- pay will be $70K-$75k**
Responsibilities:
Greet and direct incoming guests and employees, acting as the first point of contact
Act as the main liaison for third-party facilities, building management, IT, and maintenance needs or repairs
Managing conference room calendaring and supporting Palo Alto team members with their conference room reservation requests. Maintain the conference rooms as well
Receiving, sorting, distributing, and mailing correspondence and packages
Procuring parking passes and building access badges for new hires
Supporting the coordination of periodic team lunches, happy hours, and other internal and external events
Oversee inventory for office and kitchen supplies; ensure the office is fully stocked at all times
Maintain organization and cleanliness of all common areas
Undertake special projects and additional responsibilities as required
Collaborating on projects with other EAs both locally, and globally, as required
Qualifications:
At least 2 years of experience with Reception, Workplace, and/or Facilities Operations
Excellent communication skills and proficiency in MS Office
An ability to effectively handle demanding situations with grace and poise
Resourcefulness and the ability to work in a fast-paced environment while handling multiple tasks and maintaining an attention to details
Experience working in technology startups, Venture Capital, Private Equity, or Investment Banking is a plus
Positive, can-do attitude and ability to juggle several projects at once
Ability to anticipate the needs of every department within the office
Ability to work at a fast pace while maintaining accuracy
Resourceful and ready to proactively solve problems
Eager to learn new skills and work with a collaborative team
