Job Description:

Our client, a private organization in financial services, is looking for an Office Manager to join their team in Midtown Manhattan. The ideal candidate will oversee day-to-day office operations, manage vendor relationships, and ensure compliance on premises. This individual will also provide administrative support to the CEO and Executive chairman including calendar, meeting, and travel management.

Responsibilities:
  • Works closely with the President and CEO, and the Executive Chairman to provide administrative support, manage schedules, and communicate with internal and external parties on organizational matters
  • Maintain comprehensive and accurate records, including handling of sensitive information
  • Manage calendars for President & CEO and Executive Chairman, including scheduling meetings calls and appointments
  • Organize travel arrangements, including flights, accommodations and itineraries
  • Oversee day-to day office operations to ensure smooth functioning
  • Oversee incoming, outgoing mail, shipping and deliveries
  • Maintain vendor and service provider relationships
  • Maintain and manage office budgets; process invoices; manage expense reports for Executives
  • Plan for space/infrastructure including moves, additions, and changes to computer equipment
  • Ensure compliance with premises policies and procedures
  • Manage and organize office events and meetings; office supplies and refreshments are available for internal/external meetings
  • Assist in preparing for Board meetings, coordinate and distribute in a timely manner agendas, Board meeting packages, and meeting minutes, and ensure proper notification is given of Directors' meetings
  • Assist with employee engagement, team activities and HR coordination

Qualifications:
  • Bachelor's degree
  • Excellent verbal and written communication skills
  • Team player able to manage multiple work streams and commitments at the same time, producing high quality output within tight deadlines
  • Excellent attention to detail. Strong problem-solving skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Adobe)
  • Two years minimum experience working with senior management
