Job Description:

SUMMARY: Schedules appointments, gives information to callers, and otherwise assists the housekeeping and maintenance directors with clerical work and minor administrative and business deals. Maintain preventive maintenance and work request software.

ESSENTIAL JOB FUNCTIONS:


  1. Perform office and administration duties for the department, including entering work orders into the maintenance tracking software.

  2. Receive maintenance request via the phone and enter the request into the maintenance tracking software for proper tracking and scheduling.

  3. Produce daily, weekly and monthly maintenance reports for review by the department.

  4. Assist the department with processing invoices/receipts according to proper account coding system.

  5. Assist the department with keeping track of the contractor’s insurance information and W9.

  6. Assist the department’s secretary with additional duties.

ESSENTIAL QUALIFICATIONS:

Education and/or Experience:


  • High School diploma or general equivalency degree (GED), 1-year experience and/or training or equivalent combination of education and experience.

  • Computer literate and MS-Office Suite experience including spreadsheets. Ability to learn and maintain the maintenance software platform.

  • MUST have a strong knowledge of Excel with the ability to write simple formulas.
