Job Description:

The Stowers Institute for Medical Research has an opening for

an Administrative Coordinator who will serve an essential role in the Operations and Services department by triaging information and requests from other departments. The person filling this position will assist in various areas of member services and operations support to the organization. They will work closely with the Operations and Services Supervisor, as well as other managers in the Operations department to assist with projects, initiatives, events, and administrative tasks, including managing complex schedules. They will interface with members in all departments and will need to have a high level of customer service with excellent communication skills. This position requires flexibility and the ability to pivot and redirect priorities to meet deadlines and unexpected requests.

Essential Job Functions:
  • Provide administrative support to Operations and Services department members.
  • Schedule meetings and keep calendars current.
  • Order office/department supplies. Expense reporting/check requests.
  • Coordinate travel arrangements as needed.
  • Manage department databases in Microsoft Access.
  • Facilitate Operations department portion of the new member orientation and lead the campus tour.
  • Maintenance of department internal web pages. Assist with services provided for Members.
  • Keeping pages updated with current information as well as posting announcements.
  • Set up Café Payroll deduction for members; run bi-weekly reports for Accounting Department
  • Catertrax Software Administration- manage the backend of system to facilitate account/budget set-up and support.
  • Ordering of all miscellaneous supplies and doing research as needed for special events or project items needed by the Cafe.
  • Coordinate usage of Stowers guest suites by external guests. Maintenance of the Suite Information Guides located in each room, ensuring materials are updated and current.
  • Assist the manager with miscellaneous tasks to support the Wellness Department including assistance with Wellness program sponsored events.
  • Serve as the back-up in Library Services coordinating administrative tasks.
  • Other duties as assigned.

Minimum Requirements:
  • High school degree or equivalent required. Bachelor's degree preferred. Experience with event coordination, customer service, and working in a fast-paced office setting.
  • Ability to work well in a team environment.
  • Time Management - Ability to organize and prioritize work to meet deadlines. As well as flexibility to routinely adjust daily work effort.
  • Attention to detail.
  • Excellent written and verbal communication skills.
  • Strong aptitude in learning and utilizing various software, including Microsoft 365 applications.

Work Schedule/Environment:
  • Monday - Friday, 8:00 AM - 5:00 PM
  • Occasional flexibility to help with weekend or after-hours events.
  • Dynamic, onsite work environment that includes a blend of active tasks and focused desk work.
