Administrative Assistant

DNI Emerging Technologies is currently looking for an Administrative Assistant to join our team located in Kansas City, MO. NOAA's (National Oceanic and Atmospheric Administration) Aviation Weather Center (AWC) enhances aviation safety and efficiency by issuing warnings, advisories, and forecasts of hazardous weather affecting aviation interests both domestically and internationally. The AWC's products and services are made available to customers through several mechanisms including direct transmission, centralized product distribution.

The AWC is one of two World Area Forecast Centers (WAFCs) and collaborates with international

partners, universities, governmental research laboratories, the Federal Aviation Administration (FAA), and other National Weather Service (NWS) entities through the on-site Aviation Weather Testbed (AWT) in order to maintain a leading edge in aviation meteorology hazards training, operations, and forecast techniques development.

This position is Monday through Friday, 40-hour work week and DNI contributes 100% to employee benefits offering BCBS PPO, vision, dental, matching 401K, short- and long-term disability, and life insurance.

Performs secretarial and administrative duties for a program or department office or project team which may perform multiple unrelated activities. Plan and produce correspondence, reports, proposals, memos, and other documentation using a personal computer. Operate spreadsheet software such as Google Sheets and Excel to produce finished documents. Proofread completed documents. Provide copying and production support as needed. May assist with Property management.

Qualifications commensurate with an Associate's degree (or equivalent), and approximately 6 or more years related experience.

Responsibilities
  • Ability to utilize experience and judgment to plan and accomplish goals, and perform a variety of complicated tasks including property management.
  • Review procedures and policies; suggest modifications in order to enhance their effectiveness.
  • Excellent customer service and interpersonal skills.
  • Works closely with Property Accountability Officers and/or Property Custodians and budget officers.
  • Assist with the effective administration and maintenance of a system of control and accountability for personal property.
  • Assist to maintain current custodial records for all accountable personal property.
  • Assist the submission of appropriate reports promptly for lost, missing, stolen, destroyed, damaged or rendered unserviceable accountable personal property.
  • Assists team with conducting annual inventories and reconciling inventory records.
  • Plan and accomplish goals, and perform a variety of complicated tasks independently and without supervision. Tasks may include drafting letters and correspondence according to NOAA formats and budget tracking and reconciliation.
  • Operate spreadsheet software such as Google Sheets and Excel to produce finished documents.
  • Respond timely to telephone calls, email and personnel requests for assistance.
  • Documents, tracks and monitors problems to ensure a timely resolution.
  • Relies on experience and sound judgment to plan and accomplish goals.
  • Ability to create and maintain filing systems and to organize and neatly manage documents according to relevant NOAA regulations.
  • The ability to perform responsibilities with a high degree of discretion for handling sensitive and confidential information
  • The ability to take initiative and communicate effectively. Possesses excellent written and verbal skills. Ability to communicate effectively with high levels of management.
  • Ability to organize and arrange presentations; schedule and coordinate meetings and conferences.
  • Process and support travel requests using onsite software, including maintenance of all travel support documentation,
  • Prepare data call reports and spreadsheets as needed.
  • Ability to prioritize multiple tasks.
  • Plan and produce correspondence, reports, proposals, memos, and other documentation using a personal computer.
