Job Description:
Under general supervision, performs a variety of specialized and custom tasks to provide administrative support for a team of sales professionals. Maintain confidentiality of Sales, Marketing, Client, and proprietary information and data in all communications. Position requires in-depth knowledge of Sales and Marketing administrative and operational policy and procedure and general business practices and procedures.
Essential Job Duties:
Manage the team's day to day operations (add visitors to security, order lunches for meetings, greet visitors, client outreach via emails/phone etc)
Assist in the deal process which includes creating and sending Real Capital Markets email blasts, Real Capital Markets confidentiality agreement negotiations/approvals, coordinating deal room access with investors, create and maintain marketing status reports in real time, create offer matrices, etc.
Assist, coordinate and/or create presentations, BOV/report covers, marketing timelines in InDesign and Keynote (ideally)
Track deal pipeline
Coordinate deal press releases and Linkedin postings with brokers and the marketing/communications team
Via Ideal, update and maintain CRM and investor lists, team pipeline, RCM (deal info) and invoicing and marketing expense tracking
Coordinate work travel for client meetings, conferences (ex. ULI Spring and Fall meetings) as well as organize client events (boat, golfing, fishing, skiing, etc)
Prepare expense reports and manage the team's expense budget (client events, charity/donations, sponsorships for industry groups)
Candidate must possess strong communication skills, organizational skills, and attention to detail
Handle other duties as specifically designated by department
Maintain a good working relationship with clients and employees, providing assistance or directing them to the appropriate department to resolve questions or issues
Proficiency in Microsoft Suite (Word, Excel, Power Point, Outlook), Real Capital Markets, CoStar, RCM systems, InDesign, Keynote (ideally)
Skills, Education and Experience:
High School diploma or General Education Degree (GED) required, & 2 years' work-related experience. Associate's degree or Bachelor's degree in Marketing and Graphic Design a preferred.
Minimum 2 years related work experience to include Real Estate Brokerage or Sales and Marketing
Advanced Microsoft Office Suite, PowerPoint, Excel and Internet research skills
Demonstrates administrative support skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports
Organizational, communication (written, oral, telephone), customer service and strong attention to detail are essential in this position
Problem solving, decision-making, and analytical skills required
Ability to prioritize, and manage multiple tasks, and meet stringent deadlines
Real Estate License a plus
May perform other duties as assigned.
Salary: $70,000 - $75,000 annually
The expected base salary for this position ranges from $70,000 to $75,000 annually. The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
