Job Description:

Our client, a subsidiary of a major player in the Defense sector is looking to hire an Office Manager to join their team. The successful applicant will gain access to industry leading benefits such as:

The Office Administrator will handle a variety of administrative, security, and IT-related responsibilities. Additionally, they will provide direct administrative support to the CEO.

Experience in a SCIF Environment is highly desirable

Key Responsibilities:

  • Security Administration: Assist with facility security, COMSEC (Communications Security), automated information system security, SSP updates, and manage visit requests.
  • Executive Support: Manage CEO-related tasks such as scheduling, reviewing and prioritizing emails, answering phone calls, organizing documents, maintaining records, taking meeting notes, arranging travel, and completing other administrative duties that support the CEO's role.
  • Travel Reimbursement: Review and process staff travel expense forms.
  • Office Management: Order office supplies and furniture as needed.
  • Recruitment Support: Coordinate new staff recruitment by scheduling interviews and reserving conference rooms.
  • Interview Process Support: Assist with the internal interview process.
  • Corporate Event Coordination: Organize Corporate and Board of Director meetings.
  • Budget Management: Monitor and control the office budget.
  • Facility Maintenance: Arrange office maintenance and repair services as required.
  • Procurement Support: Oversee procurement tasks including ordering, shipping, receiving, and inventory management.
  • Health and Safety Compliance: Arrange for regular testing of health and safety equipment and ensure policies are reviewed and updated.
  • Office Cleanliness: Organize cleaning services for the office space.
  • Staff Assistance: Address and resolve complex staff queries and complaints via phone, email, or in person.

This role requires strong organizational and multitasking skills to ensure smooth office operations and efficient support for the CEO.
