The Administrative Assistant supports day-to-day operations. Reporting directly to the Executive Director, the Administrative Assistant is responsible for (1) supporting the Program Team's efforts to effectively and efficiently serve our advocates and the children involved in their cases, (2) supporting the Development Team's efforts to successfully raise funds through marketing and events, and (3) supporting the daily office operations. The ideal candidate is a strong communicator, has the ability to work independently, provides excellent customer service, and has a passion for CASA of McHenry County's mission to support and protect children who have suffered abuse or neglect.
Responsibilities- Program
Assist with the support and appreciation of volunteers, including monthly mailings and appreciation events
Collaborate with and support Advocate Engagement Manager in regards to volunteers' continuing education and training, including the activities to support with planning, implementation and follow-up
Enter and keep accurate records of court documents, background checks, and other documentation as assigned
Welcome advocates and other visitors to the office space
Other duties as assigned
Responsibilities - General Office Support
Distribute and send out daily mail
Provide primary telephone and reception support
Monitor and respond to general email box
Order and maintain inventory of office supplies, keep reception area in order
Assist with filing, copying, scanning, etc.
Oversee maintenance of office equipment, copier, printers
Assist with compliance documentation for National and Illinois CASA
Order staff and/or board meals as needed
Light cleaning as needed
Other duties as assigned
Qualifications
Knowledge of and passion for CASA's mission
Strong work ethic with the capacity to work independently
Ability to problem-solve and use critical thinking
Proven capacity to work in a collaborative team environment
Proficient typing
Strong understanding of Microsoft Word, Excel, Gmail and Google calendar.
Excellent written and verbal communication skills
Ability to demonstrate professionalism at all times utilizing a customer service mentality
Demonstrates maturity and responsibility in maintaining confidentiality of case-related materials
Accountability and Location
The Administrative Assistant reports directly to the Executive Director who is responsible for his/her performance evaluations. Administrative Assistant will work from the CASA of McHenry County office in Crystal Lake, IL.
Position is currently listed as Part-Time, 15-20 hours per week. This position has a starting salary of $17/ hour.
