Compensation:
  • In accordance with California law, the expected salary range for this position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.

Role Summary:

This position provides a wide variety of administrative, and staff support services for the Family Preservation program. The Program Assistant performs a specialized administrative role independently. The Program Assistant uses judgment based on experience to evaluate situations and develop solutions and work independently to achieve assignment outcomes.

On an as-needed basis, provides a welcoming, safe, and nurturing environment for children and families who are on-site during office visits.

Major Duties and Responsibilities:
  • Collaborates to integrate the values of Inclusion, Diversity, Equity and Accessibility (IDEA) into all aspects of the organization.
  • Promotes the Continuous Quality Improvement (CQI) process by identifying quality indicators and opportunities for departmental and organizational process improvement.
  • Review service logs for accuracy for every IHOC & communicate with staff to correct any findings prior to submission of billing.
  • Process monthly billing in FCS and submit it to the Finance Department by the 5th of every month.
  • Sorts and files all correspondence, reports, records, documents, or other materials, search files to retrieve information as requested.
  • Create and submit monthly discretionary reports to DCFS HQ.
  • Assists in the coordination, organization, and logistical support of ongoing groups and program activities such as arranging meeting space, confirming attendance, and providing additional support as needed.
  • Types of reports, records, correspondence, memos, and other materials from rough draft or copy. Composes and type's routine letters independently. Proofreads all materials before submission.
  • Provide clerical/ reception/ office administrative duties. Greets visitors and takes telephone calls, refers visitors and callers to appropriate staff or offices.
  • Create Charts for New Cases with all necessary documentation.
  • Track chart reviews and internal audits.

Education/Certifications:
  • High School Diploma is required, plus advanced or specialized training in program or administrative support preferred; a college degree is desirable.

Experience:
  • A minimum of two years of program related support is preferred.
  • Knowledge of the Family Preservation Program is preferred.
  • Must be bilingual in English/Spanish
  • Valid CA Driver License with a minimum of two (2) years of good driving history and must be approved by the agency's insurance carrier to drive agency vehicles.

Wayfinder practices Trauma-Informed Care (TIC) principles which recognize the signs, symptoms, and widespread impact of trauma.
