The Program Coordinator will play a pivotal role in planning, executing, and evaluating programs aimed at improving the well-being of individuals and communities. This position requires a detail-oriented individual with excellent written and verbal communications, while managing multiple projects in a fast-paced environment. This role will support our staff team on a day-to-day programmatic, operational, and administrative basis.
Key Responsibilities • Coordinate and communicate with our teams in Nairobi and Cape Town on programmatic activities and updates to be shared with donors/sponsors. • Coordination and logistical support of guest experiences, including pre-trip, on-site, and post-trip touchpoints, including personalized follow-ups and progress tracking. • Manage and execute all donor inquiries, ensuring prompt and personalized responses via phone calls, email, acknowledgement letters and handwritten notecards. • Execute and process donor/sponsor/grantor communications with high personalization, including tax acknowledgment letters, grant/impact report updates and thank you notecards. • Maintain a detailed-oriented database including donation transactions, payment reminders, donor/sponsors/student records, visit reports and journal entries, and be able to pull various analytical reports using eTapestry. • Develop and coordinate email blasts and direct mail materials to donors/sponsors on program updates and fundraising, including list segmentation and email blast set up on MailChimp. • Involved with donor engagement strategies and implementation plans, including VIP and major donor cultivation, utilizing impactful stories, photos and videos. • Organize and pull captivating stories, photos and videos to be shared with donors/sponsors. • Establish and implement monitoring and evaluation processes to assess program results and effectiveness. • Analyze data and provide insightful feedback to make informed recommendations for program improvement. • Coordinate team call agendas and take notes for dissemination between various international teams. • Place orders for printing projects and work with designer and external support services. • Provide administrative and program support as needed; including the preparation of documents and presentations, organize meetings and travel, maintain the company calendar, and provide cross-functional support to team members in our country offices.
About You • You have excellent organizational, communication, and interpersonal skills, with a strong ability to multi-task and work collaboratively with different offices and team members, as the projects grow and evolve. • You have exceptional communication skills, both written and verbal, with the ability to connect with diverse audiences, including donors, sponsors, grantors, VIPs, and internal teams. • You are a strong writer in a variety of mediums, including external and internal communications. • You have proven success in cultivating donor relationships to drive donations. • You are highly detail-oriented and self-motivated with strong implementation and follow-through skills. • You are comfortable working under pressure in a fast-paced environment with multiple deadlines and wearing many hats. • You are proactive and have a can-do and flexible attitude. • You can maintain and manage confidential and sensitive data and records.
Qualifications • Bachelor's degree (or equivalent experience). • 10+ years of relevant work experience. • Experience or interest in non-profits, international development, education and/or youth empowerment is preferred. • Proficient in Microsoft Office and Google Suites of products. • Strong knowledge in database management and CRM software - experience in eTapestry (Blackbaud) or Peak15 is a plus. • Knowledge of email marketing platforms - experience in MailChimp is a plus.
