This part-time position will be placed on the College hourly rates scale, grade 7 with minimum starting hourly rate of $18.96 per hour.

Department: Administration - Facilities



Pay Grade: 7 (minimum starting hourly rate $18.96)



FLSA Status: Non-Exempt



Flexible schedule, in-person, 20 hours per week based on project needs. Mon. - Fri., shifts may be early shifts starting as early as 6:30a. or later shifts ending as late as 5p. Some evening/Saturday hours may be permitted.




JOB SUMMARY


This position is responsible for assisting the Director and Assistant Director with scheduling and coordination of various ongoing Facilities projects and renovations. This position reports directly to the Assistant Director, Facilities Operations and Auxiliary Services with secondary reporting to the Director, Facilities Planning and Management.




ESSENTIAL JOB FUNCTIONS:



  • Assists the Director and Assistant Director with special projects related to scheduling renovations, new building construction and routine facility related activity such as painting, new flooring and window treatments and signage. Works directly with vendors and contractors, as needed, for scheduling needs.

  • Monitors/Oversees contractors, as assigned by the Assistant Director, on main campus and offsite locations.

  • Uses various computer software to manage and disseminate project details such as quality control, checklists, timelines, etc.

  • Monitors project plans and timelines to ensure completion dates are met.

  • Collaborates with department personnel to monitor room scheduling to accommodate project timelines.

  • Collaborates with department personnel to maintain accurate signage for all campus spaces.

  • Collaborates with department personnel to develop and maintain project tracking systems.

  • Collaborates with department personnel to process invoices and ensure prompt fiscal procedures are followed.

  • Collaborates with department personnel on effective project close out.

  • Assists the Director as needed with State Reports.

  • Communicates information to a diverse population regarding policies, procedures, and/or general information for college personnel, students, community members, vendors and contractors, using discretion as appropriate and required.

  • Assists with the coordination of assignments between the Facilities, Maintenance, Environmental Services, and Receiving staff.

  • In the absence of the Director and Assistant Director, uses judgement to exercise effective decision making related to project needs.

  • Drives College vehicle to offsite locations as needed.

  • Other duties as assigned.

Job Requirements



MINIMUM REQUIREMENTS TO PERFORM WORK:



  • High school diploma, or equivalent, and four (4) years prior experience with similar functions in project and/or construction management, or Associates degree and two years' experience.

  • Valid driver's license with zero or minimal points.

  • Proficient in Microsoft Office applications.

  • Proficient in, or have ability to learn, use and become proficient in, specialized local and cloud-based software applications related to project management, asset management, work order ticketing, and facilities scheduling.

  • Excellent and effective organization, customer service and oral/written communication skills required.

  • Ability to work with a diverse population of faculty, staff, students, patrons, vendors and contractors.

  • Excellent time management skills with demonstrated ability to work calmly, professionally, and effectively in an environment of competing priorities.

  • Must be positive, collaborative and cooperative.




Preferred



  • Experience in higher education.




PHYSICAL DEMANDS:


The work is normally light work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.


Additionally, the following physical abilities are required:



  • Hear/talk/communicate - Must be able to exchange information and communicate

  • Visual Acuity - Ability to perceive or detect surroundings

  • Mental Acuity - Able to focus, concentrate, understand, and convey subject matter

  • Repetitive motion (i.e., keyboarding)

WORK ENVIRONMENT:


College campus and offsite locations. Dynamic environment subject to changing priorities. Direct contact with diverse students, staff, faculty and the general public in classrooms, common and shared areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms; use of safe workplace practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of fire and building safety regulations and all College policies. Observance of traffic laws and vehicle safety policies if/when driving college vehicle. Work hours may vary 29 hours per week. Flexible schedule, in-person, 20 hours per week based on project needs.
