Job Title:Financial Operations Senior CoordinatorDepartment:Social Work | Administration

The Financial Operations Coordinator 3 / Fiscal Associate serves as the main point of contact for fiscal, procurement, and travel functions for the College of Social Work. This position is a key member of the College of Social Work Business Office and provides a high level of customer service to faculty, staff, and students. The Administrative Assistant / Fiscal Associate ensures that transactions are initiated in Workday in a compliant, timely manner, and advises college employees and guests on best practices.



This position is the main initiator for faculty travel, employee purchasing, and serves as a PCard manager (University and OSP) for the unit. The Administrative Assistant / Fiscal Associate maintains documentation and records that assist in the monthly reconciliation process and acts as a subject matter expert on university policies and procedures. This position will routinely advise on fiscal inquires and help resolve issues. This position will collaborate with the College Research Office on transactions and will develop a basic understanding of grants and contracts. This position will regularly liaise with the Service Center and build relationships with different stakeholders across the university.



The Administrative Assistant / Fiscal Associate will support various projects as assigned, and will collaborate with team members on budgeting, fiscal strategy, and general college administration.





Required Qualifications


High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred. Microsoft Office proficiency required. Excellent communication and organizational skills required. Strong customer service skills and ability to work independently.





Desired Qualifications


Bachelor's degree preferred. Familiarity with OSU workflow applications and reporting tools desired.




Responsibilities:




  • Travel / Purchasing: Creates and manages travel itineraries for college stakeholders (including domestic and international) via Concur and Workday processing, including booking lodging, airfare, conference registration, and additional expenses as needed. Provides information regarding, and adheres to, travel policy as the primary resource for faculty, staff, and leadership throughout the College. Independently arranges travel items on behalf of stakeholders including airfare, lodging, rental vehicle and conference registration. Serves as PCard manager to facilitate purchasing and ensure compliance with university policy; assists with vendor setup and personnel action initiation; initiates requests for purchasing payments and reimbursements; ordering and maintaining office supplies; oversees fiscal management and processing of deposits and plays a role in the accounts receivable process; empowers access to fiscal, human and operational resources requested by internal stakeholders through the upkeep and coordination of the College's intranet site. Assists with and provides guidance on procurement processes, including ensuring proper financial coding per the foundational data model (FDM).




  • General Administrative/Fiscal Management: Develop, document, and communicate administrative procedures, job aids, and FAQ sheets to provide highest level of support including travel, purchasing, and general assistance with special projects. This position will play a role in the monthly reconciliation process. Will maintain Business Office content on college intranet site.




  • Other: Serves as backup administrative support and knowledge resource to the centers and other units throughout the College. Other projects and duties as assigned.



Additional Information:



Salary range is $19.09-$25.10 per hour. The actual salary will fall within this range based on the candidate's qualifications, internal equity, and the unit's available budget.
