About this role:

Wells Fargo is seeking an Associate Executive Specialist to provide high-level support for two senior level executives and perform a variety of executive administrative duties. This person will be a trusted advisor and assistant, balancing executive administrative responsibilities along with ongoing project / business initiatives such as tracking deliverables and supporting the departments of the two executives.

In this role, you will:
  • Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
  • Support projects
  • Assist with budget planning and compile statistical data for financial planning
  • Act as information source on group and company policies
  • Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Interact with external customers
  • Performs heavy calendaring, complex travel planning, extensive document creation/editing and preparing expense report submissions
  • Handles all personnel and confidential company materials with sensitivity and discretion
  • Acts as an information source on group and company policies
  • On-boards new team members
  • Develops excellent relationships with peer Executive Assistants and coordinates team admins across functions
  • Leverages strong interpersonal and social communications skills to answer phones, interact by email and resolve scheduling conflicts.
  • Supports the distribution of internal communications and manages related distribution lists
  • Plans and coordinates team events such as staff meetings & video conferencing
  • Receives direction from supervisor and exercises judgement within defined parameters while developing understanding of the Administrative Support function
  • Collaborates and consults with peers, colleagues and managers to resolve issues and achieve goals
Required Qualifications:
  • 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

  • Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
  • Ability to take initiative and work independently with minimal supervision in a structured environment
  • Strong organizational, multi-tasking, and prioritizing skills
  • Ability to leverage problem solving and advanced judgment skills to make decisions in situations where there are no established procedures
  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
  • Ability to be flexible and adjust plans quickly to meet changing business needs
  • Experience writing and editing internal communications, including corporate and executive level communications
  • Experience reviewing and preparing expense reports for leaders
  • Experience with Wells Fargo systems such as Workday, Talent Management, HRG, My Concur
