Responsibilities

We are seeking an ambitious and energetic Accounts Receivable Specialist to support our teams in the field. The Pest Control industry is not exactly what it may seem. Pest Control is more of a maintenance program to ensure that our customers don’t suffer from reoccurring pest activity. Like electricians or HVAC technicians, our ultimate goal is to ensure the safety and well-being of the customers that we serve.

What You'll Do

Accounting Tasks:


  • Post regular adjustments (write-offs and write-ins) in PestPac. Process mass write-offs (of finance charge only balances) twice a week and on the last day of the month.

  • Research and transfer misapplied customer payments from one account to another.

  • Assign Vanco customer payments to their correct account number.

  • Sort and distribute incoming mail via US Postal Service and the inter-office mail.

  • Daily balancing of customer payments and reverse payments posted to PestPac.

  • Web Verification - verify payments lockbox service provider placed in exception batches.

  • Upload payment file from lockbox service provider in PestPac to post to customer accounts.

  • Process customer check payments received via USPS and inter-office mail through the check machine, deposit via Image Cash Letter, and post to customers’ accounts in PestPac via upload file or manually if received without invoice/statement stub.

  • Post customer ACH payments received in the ACH Deposit inbox.

  • Manually process and post credit card payments received in the Accounting Dept inbox.

  • Research and audit accounts, records and payments when necessary.

  • Review scheduled credit card and EFT payments in preparation for automatic processing by PestPac, and post/release resulting payment batches. Post customer cash payments.

  • Process credit card/EFT refunds and post needed reverse payments. Set up auto-EFT payments.

  • Deposit miscellaneous checks (non-customer payments) via Image Cash Letter through the check machine.

Communications & Customer Service:


  • Respond to customer billing inquiries received from customer service department and branches.

  • Review and confirm customer refund check requests received from branches and/or customer service.

  • Respond to telephone and email inquiries, directing to the appropriate department or person. Respond to internal communications and taking action as necessary.

  • Draft accurately spelled and punctuated correspondence.

  • Manage difficult customer situations; respond promptly to customer needs; solicit customer feedback to improve service.

Other Duties:


  • Provide general support to complete special projects as requested such as but not limited to, faxing, copying, sorting, filing, and typing/formatting documents. Up to date training, ensure compliance with annual training.

Qualifications

What You’ll Need

To perform this job successfully, an individual must be proficient with Microsoft Office Suite (Word, Excel, Outlook, etc.) as well as be able to operate a computer, electronic calculators, fax machines, copiers and any other equipment used. The Collections and Billing Specialist must possess:


  • Excellent customer service skills and use good judgment in decision making.

  • Excellent interpersonal skills such as conflict resolution and active listening skills.

  • Excellent communication skills and the ability to speak clearly and efficiently in English, draft accurate and professional written communications, and check for spelling and grammatical errors.

  • Dress in a manner suited to a professional office.

  • The ability to understand basic mathematical equations, including the ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.

  • The ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. The ability to write routine reports and correspondence and the ability to speak effectively before groups of customers or employees of the organization is also an expectation.

  • High school diploma or general education degree (GED).
