The Client Experience & Office Operations Coordinator provides best-in-class hospitality and office operations services to clients, visitors, attorneys and business professionals in our Austin office!
Performs all duties associated with reception services, creating a positive, welcoming impression in all interactions with visitors, callers, and personnel.
Ensures that the arrival, departure and in office experience of all internal and external clients reflects the Firm's Client Service Principles.
Develops and implements a VIP client recognition program to recognize key Firm personnel, clients, recruiting candidates, and others and to create a positive, memorable experience.
Assists with food and catering orders for all events and programs requiring F&B support.
Manages booking of conference areas; ensures that conference rooms are neat and orderly for meetings and that any needed equipment is in place for meetings. Leads planning and coordination of all services related to office meetings and events in the Conference Center, including social functions, department meetings, and clients' use of space.
Responsible for set up and cleanup for all meetings and for ensuring that all pantries are maintained and stocked appropriately, to include ordering inventory when necessary.
Provides effective one call service for conference room booking needs, including facilitating requests for conference rooms, catering, technology, video conference, flip charts, chairs, visitor access, etc.
Builds client trust; accountably and resourcefully resolves routine and non-routine questions for visitors and personnel related to Conference Center, visitor needs, Firm procedures, etc.
Performs invoice processing tasks for the Austin office and other offices as may be assigned. Ensures all invoices are paid in a timely manner and tracks regular payments due to vendors. Works with Accounts Payable to resolve payment issues. Researches invoices and ensures their validity prior to processing if necessary. Works with vendors to collect on invoice credits and money due to the Firm.
Serves as onsite liaison with building staff.
Provides a variety of assistance to the Director of Administration and the Office Operations Manager.
Assists with onboarding all new staff and attorneys to the office. Including I-9 verification and creating an orientation guide.
ABOUT YOU
Bachelor's degree strongly preferred.
Three or more years of experience in a front-line client service position providing superior customer service/client experience.
Previous experience in the hospitality industry or in reception for a professional services firm a plus.
Proficiency in Microsoft Word, Excel and PowerPoint.
Highly professional interpersonal style with the ability to communicate positively and effectively with all levels in a diverse, client-first environment.
Ability to prioritize assignments and work independently. Strong sense of accountability, taking ownership over projects and responsibilities, and resolving issues proactively.
Strong problem solving capabilities, and the ability to provide responsive solutions where precedents may not exist. Ability to identify and work to resolve obstacles to achieving clarity and consensus.
Excellent organizational, process, and follow-through skills. Ability to prepare accurate, highly detailed work product.
