Overview:

ACS Professional Staffing is looking for an employee to work on-site with our client. This Technical Writer 3 position will provide documentation and technical writing support to the Safety Organization Internal Operations organization. The role of the Technical Writer is to coordinate with Subject Matter Experts (SME) in the Safety Organization, its stakeholders, and various department representatives to draft, edit, and maintain agency safety management system documentation, policies, procedures, reports, assessments, and communications in a technical environment. In addition, the position will transcribe and distribute meeting correspondence and records to attendees for all assigned committees and scheduled meetings. The position will assist assigned committees and groups with organizing and managing agendas, action items, and deadlines to ensure timely completion. This full-time position is located in Vancouver, WA.



Pay Rate: $42.35 - $52.57

Responsibilities:

  • Collaborate with NFB team members, SMEs, and stakeholders to obtain in-depth understanding of safety documentation requirements.
  • Produce documents that meet company and safety consensus standards that are appropriate for the intended audience in conference with SME and stakeholders.
  • Conduct technical interviews to obtain knowledge for documentation.
  • Confer with and interview NFB personnel, stakeholders, safety committee members, as well as SME to draft/establish technical documents and recommend material to be developed.
  • Support the maintenance of the Safety and Occupational Health Manual (SOHM) through scheduled chapter content reviews and edits with Program Owners and becoming familiar with safety technical requirements.
  • Support the maintenance of the Accident Prevention Manual (APM) through scheduled content reviews and edits in collaboration with stakeholders and becoming familiar with safety technical requirements.
  • Support the maintenance of the Contractor Safety and Health Requirements for Prime and Subcontractors (CSHRPS) through scheduled content reviews and edits in collaboration with stakeholders. Become familiar with safety technical requirements and any applicable requirements incorporated by reference.
  • Elicit user and support requirements to understand complex business systems and interdependencies with the upstream and downstream systems and procedures.
  • Draft requirements into a form, legible and technically accurate, based on end users varying backgrounds and understandings.
  • Communicate technical information to a variety of business experts in both individual and group settings.
  • Become familiar with safety management system input and work activities to propose improvements to operating procedures.
  • Research and analyze workflow and processes for various safety programs and procedures to effect changes that enhance accessibility, usability, and effectiveness.
  • Document, edit, review, organize, present, and publish safety program information.
  • Information will include safety requirements, policy, procedures, reference manuals, and tools.
  • Document and maintain responses relating to format and structure of the SOHM, APM, and CSHRPS items identified in stakeholder and committee feedback.
  • Organize material and complete assignments according to standards regarding order, clarity, conciseness, style, and terminology.
  • Edit, standardize, or make changes to material prepared by other writers or staff as requested.
  • Review published materials and recommended revisions or changes in scope, format, content, and/or methods of reproduction.
  • Review procedures, standards, specifications, and references to integrate and delineate technology, requirements, and products.
  • Select photographs, drawings, sketches, diagrams, and charts to illustrate material.
  • Organize, refine, and document technical and functional concepts into a functional framework.
  • Write logical instructions:
  • Decompose high-level information into detail.
  • Abstract up from low-level information to develop documentation, clarify requirements, and organize library for use amongst NFB personnel.
  • Arrange for word processing, duplication, and distribution of material.
  • Maintain records and files of all work and revisions.
  • Mark documents and maintain filing system(s), files, emails, and records in accordance with compliance requirements. Share and disperse documents only to appropriate personnel (those with a Lawful Government Purpose (LGP) to know). Mark and maintain all official records in accordance with the Information Security (INFOSEC) and Information Governance & Lifecycle Management (IGLM) standards and procedures. Validate official records are accurately maintained for auditing purposes.
  • Provide professional note taking services for the NFB organization for all assigned committees and scheduled meetings.
  • Attend meetings and record each meeting:
  • Write a basic transcript of the proceedings based on the recording.
  • From the transcript, prepare notes in paragraph form.
  • Record major discussion points, updates, commitments, decisions, and next steps.
  • Record and compile the action items and agreed upon due dates.
  • As requested by the meeting chairperson, recap the discussion periodically during a meeting.
  • Draft Meeting Notes:
  • Send representatives and attendees a copy of the draft meeting notes within agreed upon timeframe.
  • Solicit and compile representatives feedback for edits within agreed upon timeframe.
  • Edit notes in response to the comments and distribute draft notes to technical representatives within agreed upon timeframe. An appointed SME or NFB personnel attending meeting may review and confirm notes as finalized.
  • Provide the final product electronically within agreed upon timeframe of the conclusion of each meeting.
  • Provide and distribute any hard copy or briefing materials to the meeting when needed.
  • Distribute final meeting notes to wider meeting distribution list as instructed.

Requirements:

  • An associate or bachelor's degree in journalism, technical writing, safety & occupational health or a closely- elated technical discipline is preferred.
  • 6 years of experience is required with an applicable bachelor's degree.
  • 8 years of experience is required with an applicable associate degree.
  • 10 years of experience and formal training (college level communications, English, technical writing) or related coursework is required. Resume must include a detailed list of the specific classes being claimed as "qualifying".
  • Experience should be consistent with the specific requirements of technical writing.
  • Proficiency in the use of the full Microsoft Office Suite applications for the purposes of creating Word documents, Excel spreadsheets, PowerPoint presentations, Visio diagrams, charts, workflows, diagrams, and various miscellaneous materials into a professional published form is required.
  • Demonstrated experience with technical writing in a safety and occupational health environment.
  • Effective technical interviewing skills.
  • Advanced ability to organize and present information in various forms such as textual, graphical, and statistical.
  • Demonstrated understanding of safety and occupational health environment, sufficient to explain technical issues to a disparate range of technical and non-technical clients.
  • Knowledge of various safety and occupational health consensus standards and guidelines.
  • Valid U.S. Driver's License is required.
