This role will be responsible for supporting the planning, coordination, and execution of client meetings, conferences, and events. The ideal candidate will have a strong background in event management and be able to handle multiple projects simultaneously.Key Responsibilities:Event Planning and Support:Assist in conference planning activities and manage assigned project elementsCollaborate with team members to determine objectives and requirements for meetings and conferencesCreate and maintain event documentation, including meeting minutes, weekly reports, and post-conference client reportsHelp manage sponsorship opportunities and planningPrepare documents for onsite operations Logistics Coordination:Coordinate event logistics, including accommodations, transportation, facilities, catering, and signageAssist in managing registration of event participants, including set-up, room block management, and activity trackingHandle orders and shipments of event supplies and promotional itemsVendor and Budget Support:Research potential vendors and assist in the contract finalization processSupport the development of programs, agendas, and budgets according to client requirementsHelp review event bills for accuracy and process paymentsOn-site Execution:Work on-site for assigned events, supporting day-of logistics and troubleshooting issuesAct as a liaison between vendors, Type A Events, attendees, and clients for logistical operations and supportContinuous Improvement:Keep a pulse on current industry trends through continued training and researchParticipate in cross-training opportunitiesQualifications:Bachelor's degree in Event Management, Hospitality, or related field2+ years of meeting planning experienceUnderstanding of the travel industry, hotel chains, and meeting industry termsStrong organizational and multitasking skillsExcellent written and verbal communication abilitiesProficiency in Google Suite and database systemsAbility to travel and work on-site for programs, including some weeknights and weekendsCapable of lifting and moving up to 50 poundsKey Skills and Attributes:Strong customer service skills and ability to remain calm under pressureExceptional attention to detail and organizational skillsCollaborative team player with excellent interpersonal skillsResourcefulness, good judgment, and problem-solving abilitiesAdaptability to changing priorities and deadlinesBenefits:Competitive salaryPaid time offHealth & Dental Insurance401(k)Professional development opportunitiesFlexible work scheduleApplication Process: Please submit your resume and a cover letter detailing your relevant experience and interest in the position.
