Job Summary:
Everest Global Services, a member of Everest Group, Ltd., is seeking a Site Facilities Lead within its Real Estate department in Warren, NJ. This position is responsible for overseeing the facility activities all Everest locations and acting as the central contact for Everest site liaisons.
This role involves coordinating and overseeing maintenance services and vendor relationship, establishing corporate facility standards, managing budgets, vendor relationships, and ensuring compliance with safety regulations to provide a safe, functional, and efficient work environment.
The individual will partner with various stakeholders, including regional Operation leads Finance, HR, Security, Business Continuity and Real Estate, as well as managing vendor and property manager relationships. We operate in a dynamic, start-up environment and are looking for someone who likes to take initiative, can effectively manage through ambiguity, and thrives in a fast-paced, agile setting.
Responsibilities include but are not limited to:
Site Coordination:
Coordinate with all branch office liaisons and managers, host monthly meetings, and knowledge sessions.
Act as conduit between office liaisons and enterprise level stakeholders, including Finance, Security, Business Continuity, HR and IT.
Sponsor and disseminator of corporate initiatives and activities, (ie. Health and safety, clean desk, badging, new hires/moves.
Maintain location preventive maintenance schedules and records.
Respond to facility-related emergencies and resolve issues promptly.
Ensure sites are complying with health, safety, and environmental policies and standards.
Ensure furniture and equipment is operational for sites.
Vendor Management:
Maintain engagement with property managers to address site issues and logistical matters.
Ensure vendor invoices are paid promptly.
Work with sourcing to identify vendors and negotiate contracts.
Space Management and Utilization:
Oversee utilization of sites, including floorplans, attendance and occupancy
Assist in office space planning, allocation, and optimization.
Coordinate workstation setups, relocations, and reconfigurations.
Ensure that space utilization meets company and safety standards.
Maintain space management tool.
Budget Management:
Assist in preparing the annual facilities budget and manage expenditures.
Monitor and control operational expenses and suggest cost-saving measures.
Track and report facility expenses and provide updates to management.
Communication and Reporting:
Serve as the main point of contact for facility-related inquiries and issues.
Provide regular reports on facility operations, maintenance activities, and project progress.
Liaise with internal departments to understand facility needs and coordinate solutions.
Work Experience and Qualifications
Bachelor's degree in Facilities Management, Engineering, Business Administration, Finance, or a related field
5+ years of experience in real estate or related field
Proven track record of successfully managing real estate projects
Excellent project management, analytical and financial modeling skills
Excellent communication and interpersonal skills
