The Computational Lifing Software Section is a highly collaborative and diverse team dedicated to enhancing aviation safety through the development and distribution of cutting-edge software solutions. Our state-of-the-art software is trusted by major institutions globally to ensure the reliability and safety of both commercial and military aircraft.
Objectives of this Role:
Provide administrative support to the Computational Lifing Software Section of the Materials Engineering Department.
Assist with reports and proposals.
Help ensure 100% on time rate for deliverables.
Assist with software recordkeeping, management, and licensing.
This position fosters mutually beneficial relationships with staff and customers to make sure the sections run efficiently and productively.
Daily and Monthly Responsibilities:
Maintain project files, prepare contract action forms for software sales, and issue software licenses.
Monitor electronic timesheets and manage biweekly timesheet closeout.
Manage multiple Outlook calendars.
Prepare travel authorizations, expense accounts, check requests, and other electronic forms.
Work closely with Contracts and other Institute business offices.
Read technical documents and review them for grammar and formatting (reports, proposals, user manuals, etc.).
Anticipate team needs for information and collect, analyze, and organize the information.
Be able to respond to requests accurately and efficiently.
Maintain and regularly update spending and progress tracking databases, ensuring all information is accurate and up-to-date.
Generate and distribute project status and progress reports.
Ability to work independently, exercise confidentiality and discretion.
Manage and prioritize multiple tasks and other duties, as assigned.
Requirements:
Requires a high school diploma or equivalent.
Courses or certifications in secretarial, office support, office administration, administrative assistant is helpful.
2+ years: Related work in a professional environment
2+ years: Microsoft Office experience (primarily Outlook, Word, Excel, & PowerPoint)
A valid/clear driver's license is required.
Special Requirements:
Must be a U.S. person (i.e., U.S. citizen, non-U.S. citizen national, lawful permanent resident, asylee, or refugee) due to ITAR work in section.
