BUSINESS ADMIN SPECIALIST III
Job Description:
The Division of Enrollment Management at the University of Florida is seeking a dedicated and experienced individual to join our Finance team as a Business Admin Specialist III. In this role, you will lead the team responsible for coordinating financial functions for various units within the Division. Reporting to the Finance Manager, you will manage and approve routine fiscal and security transactions, supervise other employees, and assist with finance functions for the Division and its units.
Key responsibilities include:
Financial Management
Coordinate processing of financial transactions, including purchases, travel, and reconciliation of expenditures.
Analyze, interpret, and implement applicable federal, state, and university rules and policies regarding fiscal transactions.
Manage the processing of financial activities for various accounts, including state, auxiliary, and grant accounts.
Maintain financial records and provide periodic reports.
Assist with researching, forecasting, and justifying operating budget requests.
Facilitate finance functions for departments within the Division.
Supervision and Team Leadership
Supervise and manage the daily workload for the area, ensuring tasks are completed efficiently and accurately, resolving any issues promptly, and maintaining high standards of performance and productivity.
Guide and mentor the team, fostering a collaborative environment, and ensure accountability for achieving goals.
Manage the approval of fiscal transactions in the system.
Access and Security Management:
Manage access for myUFL roles and the Student Information System.
Administer student records access and review security access to the student information system.
Coordinate access recertifications and audit user access.
Other Duties
Participate in business process reviews and maintain documentation on internal controls and process guides.
Advise management on optimal approaches for conducting business within the Division.
Assist with special projects and other duties as needed.
This position is located at the University of Florida's main campus in Gainesville, FL and may be eligible for a flexible, hybrid work arrangement in accordance with the University of Florida and Division of Enrollment Management's policies.
Expected Salary:
$70,000 annually

A high school diploma and five years of appropriate experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.
Preferred Qualifications:
Proven experience in supervising and managing a team, with a demonstrated ability to effectively oversee daily operations, delegate tasks, and ensure high levels of productivity and performance.
Prior experience of PeopleSoft and knowledge of myUFL systems as it relates to payroll, travel, grants, and fiscal functions.
Knowledge of the student records systems.
Knowledge of and experience with federal, state and university regulations regarding student records, fiscal, budget, and grants.
Proven ability to work effectively within a team, demonstrating strong collaboration skills.
Demonstrated experience in delivering exceptional customer service, with strong interpersonal and communication skills.
Strong organizational skills with exceptional attention to detail, ensuring accuracy and efficiency in task management and documentation.
Proficiency in Microsoft Office applications.
