Duties/Responsibilities:
Buyer for computer hardware, new computer systems, network equipment, peripherals, ink cartridges, toners, accessories, extended maintenance plans and warranties.
Buyer for computer software licensing. Responsible for maintaining accurate records of software contracts for license renewals and issuing purchase orders.
Communicate directly with vendors on contract and billing issues. Maintain accurate records of vendor contracts and invoices.
Issue purchase orders for computer hardware, new computer systems, network equipment, software, peripherals, inks, toners and accessories. Track orders, receive, unpack and distribute items received.
Receive and approve vendor invoices for payment through Medius. Keep digital copy of invoices on file.
Make online purchases of computer hardware and software using company credit card. Download and keep digital file of invoices from online purchases.
Reconcile monthly credit card statement for IT using Certify.
Drop ship computer equipment, peripherals, ink, toner and accessories to SSI warehouses and/or other employees within The Taylor Group of Companies.
Place service calls to vendors/manufacturers on failing equipment and coordinate return and replacement of defective equipment.
Manage Adobe online software console and assigning license to users upon approval. Breakdown and charge out licenses by department at Annual renewal.
Approve Logically Monthly Billing invoice per contract. Create spreadsheet for accounting with monthly billing charges per Taylor company.
Check Logically misc. proposals for approval or dispute.
Issue email requests to I.T. Support.
Approve Logically invoices discrepancies to Logically. (Contact Logically AR to report billing disputes and to resolve any issues.)
Maintain a Database and folder of network equipment for each Taylor location to be used for approving renewals.
Purchase Nextiva programmed phones for SSI warehouses from Logically. Coordinate placement of phones and setup in Nextiva.
Manage Nextiva VOIP online phone system for all Taylor SSI locations. Secure phone numbers as needed for new locations. Create new location accounts.
Responsible for maintaining a Nextiva User/Extension Database for all Nextiva locations. Used in assigning phones to users in Nextiva portal.
Required Skills/Abilities:
Maintain computer office equipment inventory and keep stockroom supplied.
General office upkeep, i.e., office supplies, kitchen supplies and report building problems to maintenance.
Plan travel schedules and itineraries including classes, airline, hotel, rental car, expense money.
Education and Experience:
Associate's degree
5+ years of related experience required in working in an assistant role supporting professionals.
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Ability to communicate effectively and professionally.
