Service Advisor

Evolve Solutions, LLC is a high-end custom fabrication company based in Painesville, OH with a second service center in Indianapolis, IN. Our clients are some of the biggest motorsport teams and brands in the world, for which we assist in designing and fabricating race transporters. We have a sharp focus on client satisfaction and a desire for continued innovation.

WHAT YOU CAN EXPECT IN THIS ROLE:

The Service Advisor will serve as the primary point of contact for clients on-site, ensuring a smooth intake process, accurate record-keeping, and seamless communication with the foreman and sales team. This role requires a detail-oriented individual with excellent organizational skills and the ability to manage multiple tasks.

KEY RESPONSIBILITIES:

Client Intake & Communication:
  • Act as the first point of contact for clients on-site, greeting them professionally and addressing any questions or concerns.
  • Collect detailed information regarding the transporter's condition, service needs, and client-specific requests.

Pre-Work Inspection & Documentation:
  • Conduct thorough pre-work inspections of transporters, completing inspection assessment forms to document the condition of the vehicle before service begins.
  • Gather necessary transporter details such as make, model, and VIN, along with client-specific information (e.g., team name, point of contact, Bill-to).

Work Order Maintenance:
  • Update and reconcile work performed with work orders as directed by the foreman, ensuring all information is accurate and reflects input from the sales team regarding change orders, scheduling updates, and project management planning.

Scheduling & Service Coordination:
  • Assist the foreman and sales team in the scheduling and planning of service work, ensuring all tasks are assigned and managed efficiently.
  • Serve as the foreman's go-to person for project management support, helping to track deadlines, resources, and any adjustments to the work plan.

Record Keeping & CRM Management:
  • Maintain detailed and accurate records of client interactions, vehicle service history, and transporter details using internal systems.
  • Experience with HubSpot or DMS (Dealer Management Systems) is highly preferred.

Administrative & Computer Skills:
  • Regularly use Microsoft Excel and other computer tools for documentation, record-keeping, and reporting. Proficiency in basic computer skills is required.

PHYSICAL REQUIREMENTS:

Ability to stand, walk, bend, reach and stoop in both office and shop settings.

PREFERRED EXPERIENCE:
  • Proficiency in Microsoft Excel and general computer skills
  • Experience with CRM software (HubSpot) or DMS is a plus
  • Previous experience working in equivalent position.
