We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing team. The ideal candidate will provide primary administrative support to a Partner by managing calendars, scheduling meetings, coordinating travel arrangements, and processing expense reports. The candidate will also provide administrative support, as necessary, to the rest of the team.
This is a full time position with benefits, which include 401K, PTO and health insurance.
Responsibilities may include:
Manage complex calendars and schedule appointments efficiently;
Coordinate travel arrangements, including booking flights and accommodations;
Process expense reports;
Assist with project management tasks as needed;
Provide minimal and back-up support to Miami-based executives and assist all members of Xtellus / XTS team visiting Miami office, as necessary;
Provide back coverage to a New York-based EA/OM as requested;
Qualifications:
Excellent communication skills, both written and verbal in English and Spanish languages
Team player, ready to pick up support tasks as necessary
Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
Strong organizational and time management skills
Ability to prioritize tasks and meet deadlines
Detail-oriented with a high level of accuracy
Preferred:
Notary public license or being willing to take the notary public exam
Experience in a supporting role as an administrative assistant
Experience working in a financial organization is a big plus
Experience with CRM software, database and various online platforms is a big plus
