The Operations and HR Administrative Assistant is responsible for the administrative support of day-to-day operations, including human resource, purchasing, and administrative operations.
Essential Duties and Primary Responsibilities
Human Resources Duties
Provides customer service to employees and PEO provider, including handling walk-ins and telephone inquiries, directing employees to appropriate resources
Inputs daily data entry and ensures data integrity in ADP TotalSource, HRIS and the relevant HR systems and databases
Actively manages all employee personnel records; prepare new employees files, and files documents into appropriate employee files.
Maintains high standards of confidentiality of all employee records, information, and personnel file maintenance.
Assist with maintenance of recruitment file for accuracy and completeness
Responsible for processing requisitions and offer worksheet form, and generate offer letter
Prepares new hire packages, processes new hire paperwork and assist with the new hire orientation and on-boarding
Prepares the on-line employee onboarding tasks through ADP TotalSource, processes new hire electronic form, and assist with the new hire orientation
Responds to reference checks and verifications of employment status.
Managing candidates and processing background check
Responsible for maintaining I-9 documents for current and term employees in accordance with federal regulations
Purchasing Duties
Responsible for generating Purchase Orders from purchase requests, routing for approval via purchasing software
Responsible for placing orders for approved POs
Responsible for entry of invoices into billing software
Back-up for shipping and receiving as needed
Operational Duties
Assist with company event planning and execution
Maintain Intellectual Property files
Other duties as assigned or required
Job skills and qualifications
Bachelor's degree preferred but not required
Minimum 2 year's work experience as an HR Coordinator or relevant human resources position
Knowledge of human resources processes and best practices
Experience with HR databases and HRIS systems
Strong ability in using MS Office (MS Excel and MS PowerPoint)
Ability to handle data with confidentiality
Good organizational and time management skills
Excellent interpersonal skills

May sit in front of a computer for long periods of time or remain at a work station for extended periods or until relieved by a supervisor.
