Job Summary:
The Administrative Assistant in the warehouse provides essential support to the warehouse operations by handling various administrative tasks, ensuring the smooth day-to-day functioning of the warehouse. Responsibilities include maintaining records, coordinating with warehouse staff, managing communications, and ensuring that inventory and shipping processes are documented efficiently.
Key Responsibilities:
Clerical Support: Perform general administrative tasks such as answering phones, managing emails, filing, and data entry.
Inventory Records: Assist in maintaining accurate records of incoming and outgoing shipments, inventory levels, and stock adjustments using warehouse management software.
Order Processing: Support the processing of orders, including data entry of purchase orders, tracking shipments, and updating relevant systems.
Documentation: Prepare and manage shipping documents, invoices, receipts, and other related paperwork. Ensure that all documentation is organized and readily accessible for audits and reviews.
Communication: Coordinate between warehouse staff, management, vendors, and customers to ensure the timely delivery of materials and goods. Address inquiries and provide updates on shipments or inventory.
Scheduling: Assist with scheduling deliveries and shipments, coordinating with vendors, drivers, and warehouse staff to ensure smooth logistical operations.
Report Preparation: Generate reports on warehouse activities, including inventory counts, shipment schedules, and delivery performance, for management review.
Office Supplies Management: Monitor and order office supplies for the warehouse to ensure that administrative functions continue smoothly without interruption.
Safety and Compliance: Ensure compliance with company policies and safety regulations by maintaining appropriate documentation and assisting in related reporting.
Support to Management: Provide support to the warehouse manager and other team members as needed, including preparing presentations, scheduling meetings, and organizing internal communications.
Requirements:
High school diploma or equivalent (Associate's degree or administrative certification is a plus).
Prior experience in an administrative role, preferably within a warehouse or logistics environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills with the ability to multitask and prioritize.
Excellent written and verbal communication skills.
Attention to detail and high level of accuracy in data entry.
Ability to work independently and as part of a team in a fast-paced environment.
Strong problem-solving skills and ability to handle unexpected issues effectively.
