Hybrid Executive Assistant to High Net Worth Individual - Port Ewen, NY - $90k-$125k + bonus
Compensation: $90,000 - $125,000 plus bonus, extraordinary benefits and perks.
Schedule: Full-time, Monday-Friday (9 AM - 5 PM, with some flexibility). Remote work possible when the principal is not in Kingston (approx. half the year). Light travel with the Principal may be required from time to time.
The Role: This is an exciting new role supporting a high-net-worth individual who is establishing roots in Port Ewen, NY. The ideal candidate will be organized, adaptable, and experienced in managing a busy executive calendar. You will be a trusted right-hand person, handling time management, liaising with family members and boards, coordinating travel, and overseeing professional and personal logistics.
The role is not 24/7 support but will require flexibility depending on the family's needs. While the family maintains high standards, they are communicative, inclusive, and maintain healthy boundaries with their staff. This role offers a balance of professional and personal assistance in a family-oriented, positive environment.
Primary Job Functions:
Manage complex calendars, including scheduling and prioritizing meetings, appointments, and family obligations, ensuring optimal time efficiency.
Monitor and manage email inboxes, draft correspondence, and respond on behalf of principals when appropriate.
Serve as the primary point of contact for family members and board representatives, coordinating family events, meetings, and ensuring all communications are handled professionally.
Attend meetings as necessary, take detailed notes, track action items, and ensure follow-up on key decisions.
Arrange domestic and occasional international travel, including flights, accommodations, and ground transportation.
Provide administrative support for the principal's philanthropic endeavors, including scheduling meetings with charitable organizations and assisting with event planning.
Coordinate logistics for visiting family members, friends, and high-profile guests, ensuring a seamless and comfortable experience.
Required Skills:
Minimum of 5 years supporting high-level executives or high-net-worth individuals, with experience in complex scheduling and logistics.
Ability to handle multiple priorities, manage time efficiently, and stay highly organized in a fast-paced environment.
Strong written and verbal communication, with the ability to liaise with family, boards, and high-profile visitors in a polished and professional manner.
Experience booking travel arrangements and handling logistics with an eye for detail and comfort.
Able to handle confidential matters with the highest level of discretion and professionalism.
Proficiency with Microsoft Office, Google Workspace, and calendar management tools.
Comfortable adjusting to changes and willing to accommodate the family's evolving needs.
