Job Description:
We are seeking a highly organized and experienced Administrative Assistant to join our clients team. The ideal candidate will have 3-7 years of administrative experience, be tech-savvy, and possess excellent communication and organizational skills. The position is onsite five days a week in the Northbrook, IL office.
Responsibilities:
Assist staff with administrative tasks as needed.
Foster a positive and collaborative work environment.
Answer and direct incoming phone calls in a friendly and professional manner.
Sort and distribute incoming mail.
Prepare mailings, UPS, FedEx, and messenger packages.
Visit the post office, FedEx, or UPS facilities as needed.
Finalize letters/notices and draft engagement letters as requested.
Scan client documents and monthly statements.
Create client codes and locators.
Update accounts in the practice management program.
Prepare, print, and collate tax organizers.
Client Data Processing
Organize and process incoming client data.
Create binders for efficient document management.
Assemble paper and electronic tax returns (individual, trust, entities, gift tax, estate tax) using SafeSend.
Coordinate and prepare batch filing, ensuring compliance with monthly and deadline requirements.
Record chargeable client expenses.
Attend firm committee meetings and record meeting minutes.
Coordinate services to maintain the office as directed by the office managing partner.
Qualifications:
3-7 years of administrative experience.
Tech-savvy, with proficiency in Outlook, Teams, and Excel.
Excellent organizational and communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
Detail-oriented and capable of managing multiple tasks simultaneously.
