Our client, a prestigious law firm based in Midtown, Manhattan is seeking a Conference Center Coordinator. This position will oversee the operations and appearance of the conference center.
Job Responsibilities
Organize and supervise the scheduling and coordination of meetings and events help at the firm, ensuring that everything is organized and ready before meetings and events are cleaned up afterwards
Oversee the physical appearance and function of the Conference Center, coordinating with the relevant operations team as needed, including:
Office services to ensure conference rooms are neat, well stocked with supplies, and prepared for meetings
Catering services to ensure catering requests are timely set up and cleared
Information services to troubleshoot technology
Maintain consistent lines of communication between Office Services, Catering Services, and Information Services
Assist with zoom set up
Serve as the point of contact for all visitors, Conference Center users, and client requests. Including greeting guests, assisting with light photocopying, printing, and sending/receiving courier packages, coordinating car service requests, and troubleshooting any concerns or requests
Reserves conference rooms and spaces, and coordinates all associated services and needs (e.g., food/beverage, audiovisual, facilities, signage, materials)
Directs clients to conference rooms
Resolves booking conflicts in a timely and accurate fashion
Answers telephones, takes messages with accuracy and handles or refers questions and requests
Understands the firm's emergency procedures and is prepared to carry out designated tasks in the event of a fire or other emergency
Maintains the attractive, neat appearance of the reception area
Performs other duties and special projects as requested
Experience and Qualifications
1+ year of relevant reception and/or conference center experience in a law firm
Book meeting with the Conference Scheduler App Rendevous
Microsoft Outlook, Zoom
A flexible problem solver, self-directed, customer service oriented, and collaborative
Strong written and verbal communication skills with all staff levels and backgrounds
Organized and detail oriented
Strong time management skills
Ability to self-motivate, motivate others, be resilient, and a strong team player
High touch approach, customer service focused
Strong interpersonal skills with polite, positive manner and ability to interact effectively with a broad range of people
Maintain high level of professionalism and competence when dealing with clients
Pay Range: $70,000 to $80,000 based on experience.
