The overall objective of M Moser Associates Project Coordinator is to offer the Design and Construction team support. To be successful in this, you will help in coordinating team activities, manage proposal and creative exercise execution. Part of this job involves administrative tasks that support the success of projects. To be successful, you will interface internally with all team levels from Directors to Junior Designers on behalf of M Moser Associates, with particular focus on quality control and service control from project startup to closeout.
Primary Responsibilities:
Be the prime liaison between design team leadership and construction managers who work with client/owner and AE teams.
Attend internal meetings with focus on project coordination, additional service monitoring and team coordination.
Draft schedules and fee (letter) proposals, with the direction of Project Leader or Project Director.
Process, log, review and distribute Requests for Information (RFI), organize submittals, and research for design team leadership.
Resolve problems which arise, coordinate bulletins to the contract documents, make recommendations, and consult team leadership on all issues related to the project.
Monitor, review and coordinate closeout Operations and Maintenance (O&M) manuals per project requirement, submittals, perform periodic survey, QA/QC construction site visits with the project leader to familiarize with our projects, as well as better understand the project team need.
Assist the project leadership in coordination of procedures at the start of each project.
Log Additional Service Requests, Work Authorizations, contract requests and route for review to project leadership.
Ensure all closeout items are received before final payment is made on Design or Construction projects.
Generate and maintain digital record of project files for marketing and estimating purposes. Perform administrative activities such as preparing, copying, and emailing, documents. Maintain files and arrange any aspect of meetings, including preparing agenda and setting up the meeting space for clients.

Qualifications & Core Competencies
Minimum 2-3 years of work experience in a similar role
Ideal candidate will have experience in AEC or related industry
Bachelor's degree in Communications, Design, Marketing, Logistics, Graphic Design, Interior Design or Architecture from an accredited school preferred
Exceptionally strong written and verbal Communication skills.
