We are seeking an Administrative Assistant to provide project support for a variety of tasks, including document management, travel coordination, meeting support, and general administrative assistance. This role is ideal for someone who thrives in a fast-paced environment and enjoys supporting different departments and leadership teams.
Key Responsibilities:
Provide ad-hoc administrative support to ensure smooth office operations.
Format and proofread documents to maintain consistency and accuracy.
Coordinate and delegate tasks across various teams and departments.
Organize travel arrangements for staff and management, including booking flights, accommodations, and transportation.
Process expense reports for staff and management.
Assist with scheduling meetings, preparing agendas, sending invites, and tracking attendance.
Organize and coordinate events, including ordering catering and taking meeting minutes as needed.
Support the HR department and other internal teams with administrative tasks as required.
Answer and direct incoming calls professionally and efficiently.
Assist with conference-related activities, such as preparing materials, registering attendees, and shipping conference booth items.
Maintain an organized filing system for both physical and digital documents.
Collaborate with team members to maintain workflow and prioritize tasks effectively.
Ensure all tasks are completed with a high degree of accuracy and attention to detail.
Qualifications:
Prior experience in an administrative or project support role.
