The Executive Assistant plays a pivotal role in providing high-level executive support and C-Suite assistance to ensure smooth operations across the organization. This Executive Support Specialist position requires exceptional organizational skills, discretion, and the ability to manage a variety of project management and administrative tasks efficiently and effectively. Acting as a primary point of contact internally and externally, the Executive Assistant facilitates communication, manages executive schedules, and coordinates high-priority activities for the leadership team.
Responsibilities:
Manage a diverse range of executive administrative tasks for the Executive Team, including:
Overseeing a busy calendar of appointments
Drafting and handling confidential correspondence
Arranging complex and detailed travel plans, itineraries, and agendas
Compiling documents for travel-related meetings
Coordinate schedules to ensure calendars are followed and respected
Act as a "gatekeeper" to the Executive Team, creating win-win situations for direct access to the team's time and offices
Research, prioritize, and follow up on incoming issues and action items addressed to the Executive Team, including those of a sensitive or confidential nature
Attend meetings, taking and distributing meeting minutes to maintain clear records
Serve as a liaison between the Executive Team and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff
Inform the Executive Team of key upcoming commitments and responsibilities, following up appropriately
Manage a variety of special projects for the Executive Team
Prioritize conflicting needs and handle matters proactively and expeditiously
Qualifications:
Bachelor's degree required
3+ years of experience as an Executive Assistant or in high-level administrative support, ideally supporting a Partner or C-Suite Executive
Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly, paying excellent attention to detail
Strong interpersonal skills, capable of interfacing effectively with senior executives
Exceptional written and verbal communication skills
Proactive approach to problem-solving with strong decision-making capabilities
Highly resourceful and effective in team settings and independently
Proven ability to handle confidential information with discretion
Demonstrated ability to meet high performance goals and manage deadlines in a fast-paced environment
Technically proficient, including strong skills in Microsoft Office
