Position Overview:
The Executive Administrative Assistant supports the President of the Private Family Office and assists the management team, providing key administrative and indirect leadership. This role requires strong communication skills and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities:
Handle confidential, complex administrative tasks for the President with discretion and diplomacy.
Manage and optimize the President's calendar and coordinate meetings.
Schedule meetings and calls, including Zoom and telephone conferences.
Arrange domestic and international travel for the President.
Compile and organize information to prepare communications, reports, and documents.
Lead and support special projects.
Review and respond to sensitive inquiries; identify when executive action is needed.
Attend bi-weekly management meetings, record minutes, and distribute to attendees.
Document processes for Standard Operating Procedures.
Maintain policies, contact lists, and relevant information as needed.
Qualifications:
Education: Bachelor's Degree preferred, or equivalent experience.
Experience: 6+ years in executive support.
Professional, detail-oriented, with strong problem-solving skills.
Proficient in Microsoft Office Suite, Excel, Adobe Acrobat Pro, and Zoom.
Adaptable to new technology and software.
Excellent time management, organizational, and communication skills.
Positive, proactive, and capable of working independently.
Flexible to work overtime and manage changing priorities.
