The Office Administrator will play a vital role in ensuring our office runs smoothly and efficiently. This position involves providing executive support, managing office operations, maintaining a tidy work environment, and managing monthly team communications. The ideal candidate will be detail-oriented, able to manage multiple tasks, and contribute to a positive team atmosphere.
This position will be on-site at our office in River North, Chicago and will report to the Human Resources Manager.

Key Responsibilities:
Provide top-tier administrative assistance to company executives, including calendar management, travel arrangements, and meeting coordination
Manage the office environment, ensuring a clean, organized, and welcoming workspace
Procure and manage office supplies, equipment, maintenance, and repairs within budget constraints
Coordinate office meetings and manage inbound activity, presenting a professional and welcoming face for our organization
Handle mail sorting and distribution
Assist in preparing presentations, including gathering information, creating slides, and formatting documents
Serve as a point of contact for internal and external communications, responding to inquiries and directing them to the appropriate teammates
Manage gathering information for a monthly newsletter and sending it out to the entire team
All other duties as assigned
Qualifications:
High school diploma or equivalent; additional education or certifications in office administration is a plus
Proven experience as an office assistant or in a similar role
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills
Ability to work independently and as part of a team
