Stolfus & Associates, Inc. is seeking an Executive Assistant with completion of a Bachelor's Degree and a minimum of 5 years related experience at a C-Suite level for our Greenwood Village, CO office. This position is an excellent opportunity for a self-motivated, curious, and highly skilled person who wishes to help enhance our CEO's effectiveness.
The Executive Assistant manages the office of the CEO, serving as the central coordinator to establish clear priorities and making certain all critical functions are executed promptly and professionally. The Executive Assistant is experienced in using independent skills for complex tasks and analytical judgment for variable tasks and situations. Assignments are guided by the CEO, also in collaboration with the VPs.
Experienced in heavy calendar management (maintains the CEO's appointment schedule), making travel arrangements, and preparing detailed travel itineraries and agendas.
Conserves the CEO's time by:
Reading, researching, and routing correspondence.
Drafting letters, documents, and emails for distribution.
Collecting and analyzing information.
Initiating communications.
Providing historical reference through recordkeeping and document management systems.
Acting as the CEO's gatekeeper, prioritizing inquiries and requests while troubleshooting conflicts and providing judgements and recommendations to achieve smooth day-to-day engagements.
Prepares the CEO for meetings, presentations, and events
Prepares talking points.
Prepares briefing memos.
Maintaining lists of action items and assignments from various meetings.
Oversees preparation of background materials developed by others.
Makes certain of the CEO's responsiveness:
Provide close coordination with clients, partners, and staff as directed by the CEO.
Recognize and act when CEO response is in danger of becoming overdue.
Recognize and act on when to send thank you notes, cards, gifts, etc.
Maintains professional and technical knowledge by:
Attending educational workshops.
Reviewing professional publications.
Establishing personal networks.
Participating in professional societies.
Board of Directors:
Assisting the CEO in preparation and distribution of the meeting agenda in compliance with the Bylaws.
Attending meetings and backing up and supporting the Secretary in preparing meeting minutes for distribution.
Mature, experienced, and extremely detail oriented.
Strong verbal and interpersonal communication skills.
Ability to handle multiple tasks.
Ability to maintain confidential information and sense of issues taking place in the workplace.
Requirements:
Bachelor's degree or equivalent in a related field and minimum of 5 years related experience or equivalent combination of education and experience at a C-Suite level.
Knowledge of and experience with Microsoft Office products
Excellent written and oral communication skills, including the ability to summarize technical information into accessible forms.
Self-motivated, detail-oriented professional with strong organizational skills.
A desire to grow personally and professionally while working in a team environment to make Colorado's transportation system safer and improve quality of life for users while meeting our client's needs.
This position requires the ability to sit/stand for extended periods at a computer workstation. Occasional travel to client facilities and project sites require ability to climb ladders, inspect and be physically mobile in and around client construction sites.

This range is provided by Stolfus & Associates, Inc. Your actual pay will be based on your skills and experience. Base pay range for Executive Assistant with a minimum of 5 years of relevant C-Suite Level experience: $60K to $85K per year.
