Job Description:

Position Statement: The Executive Assistant will assist the Executive in a wide variety of administrative and executive support tasks which may be highly confidential and sensitive. Position reports to the Chief Executive Officer (CEO).

Summary of Duties: To assist CEO with a wide variety of activities including researching, analyzing and preparing various correspondence, presentations and reports concerning a wide array of business issues, as well as coordinating calendars and meetings, monitoring and managing e-mails, and assisting in travel arrangements. Job requires efficient handling of multiple tasks requiring a high degree of attention to detail.

DUTIES AND RESPONSIBILITIES
  • Researches, analyzes and prepares reports regarding a wide variety of highly confidential corporate issues. Makes recommendations to resolve or advance issues.
  • Serves as executive liaison to the board, management, professional, represented staff and external contacts in an effort to carry out the corporation's strategic goals and tactical business processes.
  • Facilitates and participates in the development and implementation of corporate projects, including attending committee and staff meetings and preparing notes.
  • Maintains the schedule of the CEO and ensures that conflicts do not arise. Coordinates in-person and virtual meetings, calls, and travel to accomplish business objectives.
  • Composes and reviews executive correspondence and other communications.
  • May travel to meetings and other functions as required.
  • Assists with monitoring and managing e-mails for executive staff.
  • Perform other related assigned duties as necessary to complete the primary job responsibilities as described above.

QUALIFICATIONS AND EXPERIENCE

Position requires an associate's degree in business administration or a related field and two years' administrative support experience. Will accept any suitable combination of education, training, or experience.

Position requires proficiency using personal computers and office software applications (word processing, spreadsheet, presentation, database), project management skills, and the ability to travel as necessary to execute job responsibilities; effective communication and interpersonal skills; high degree of attention to detail; ability to resolve problems and use independent judgment. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

Qualifications
