Ryan Gems Inc., a family-owned fine jewelry manufacturer, is seeking a highly organized and proactive Administrative Assistant to support day-to-day operations. The ideal candidate will be a detail-oriented professional with excellent communication and multitasking skills, eager to work in a fast-paced and collaborative environment.
Responsibilities:
Provide administrative support to ensure smooth operations, including scheduling meetings, managing calendars, and handling correspondence.
Coordinate with various departments, including sales, production, and design, to facilitate workflow.
Maintain organized records and filing systems for invoices, contracts, and other essential documents.
Monitor inventory and office supplies, ensuring timely replenishment.
Prepare reports, presentations, and other materials as needed.
Manage data entry tasks with a high degree of accuracy and attention to detail.
Perform other administrative duties as assigned by management.
Qualifications:
Proven experience as an Administrative Assistant or in a similar role.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or inventory management software is a plus.
Exceptional verbal and written communication skills.
Excellent organizational and time-management abilities.
A proactive attitude with the ability to anticipate needs and solve problems independently.
Experience in the jewelry or manufacturing industry is a plus but not required.
