Job Overview:
We are seeking a detail-oriented and proactive individual to support the Government Affairs (GA) Strategic Planning and Operations team. This role will provide operational support for contract management, financial tracking, compliance tasks, and project reporting. The ideal candidate will have experience with administrative functions, financial processes, and compliance requirements, as well as the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Contract and Financial Management:
Apply compliance requirements to deliverables and contracts with suppliers.
Review assigned contract requests for completeness and track the approval process with vendors and internal teams.
Monitor contract progress, invoice processing, and financial approvals.
Assist in tracking budget actuals and financial projections (LBE and gating).
Compliance:
Collect, submit, and track compliance documentation for GA projects.
Update and manage low to medium-complexity compliance documents, such as fair-market value assessments and third-party funding requests.
Ensure compliance with regulations and organizational standards for membership and sponsorship agreements.
Metrics and Reporting:
Update reports, dashboards, and apply tools for collecting and analysing metrics related to GA projects.
Review systems and data for inconsistencies, anomalies, and areas for operational improvement.
Assist in the development of operational guidelines, checklists, and efficiency recommendations.
Operational Support:
Provide logistical support for Government Affairs projects and initiatives.
Coordinate with cross-functional teams to ensure projects are delivered on time, within budget, and in compliance with all necessary regulations.
Contribute to the development and improvement of project management tools and processes.
Qualifications:
Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Experience: Minimum 2-3 years of experience in project management, contracting, compliance, and/or financial management.
Skills:
Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and various database applications (e.g., Lotus Notes, web applications).
Strong attention to detail with the ability to handle multiple priorities under tight deadlines.
Excellent oral and written communication skills.
Ability to work independently and as part of a cross-functional team.
Demonstrated ability to think strategically and analytically to improve processes and drive efficiency.
