The Document Control Specialist is responsible for managing, tracking, and ensuring compliance with all documentation related to engineering change requests (ECRs) within an aerospace company. This includes reviewing and processing ECRs, obtaining necessary approvals, maintaining records, and ensuring Engineering Process Records (EPRs) are accurate and up to date. The role plays a crucial part in supporting engineering, quality, and manufacturing departments to ensure smooth product lifecycle management and compliance with industry standards and regulations.
Key Responsibilities:
Receive and Process ECRs: Review incoming Engineering Change Requests for completeness and compliance with internal processes.
Approval Workflow: Facilitate the approval process for all ECRs by coordinating with relevant stakeholders (engineering, quality, procurement, etc.) and ensuring all necessary signatures and approvals are obtained within specified timeframes.
ECR Tracking: Maintain a system to track the status of all open ECRs from initiation to final approval and implementation, ensuring no ECRs are overlooked or delayed.
Record Maintenance: Ensure all documentation related to ECRs and Engineering Process Records (EPRs) is properly logged, stored, and maintained in both electronic and physical formats, following company and industry standards.
Version Control: Implement and manage document control procedures to ensure that all documents (drawings, specifications, ECRs, and EPRs) are up-to-date, accurately reflect changes, and are easily accessible to authorized personnel.
EPR Updates: Ensure EPRs are updated in line with approved engineering changes and accurately reflect all modifications to product designs, specifications, and processes.
Cross-Functional Coordination: Work closely with engineering, quality, manufacturing, and other departments to ensure that all documents related to changes are properly communicated, reviewed, and implemented.
Support Audits: Assist in internal and external audits by providing requested documentation, tracking reports, and ensuring compliance with regulatory requirements.
Job Qualifications:
Associate's Degree in Business Administration, Engineering, or a related field. Bachelor's degree preferred.
Minimum of 2 years of experience in document control or records management, preferably in the aerospace or manufacturing industry.
Experience with Engineering Change Requests (ECRs) and Engineering Process Records (EPRs).
Familiarity with industry standards such as AS9100, ISO 9001, and FAA regulations preferred.
Experience with Document Management Systems (DMS) or Enterprise Resource Planning (ERP) systems.
Proficiency with Microsoft Office Suite (Excel, Word, Outlook), and experience with document control or ERP software (e.g., SAP, SharePoint, etc.).
Familiarity with aerospace industry standards and regulations (e.g., AS9100, FAA requirements, and ITAR compliance) is essential.
