Job Description
We are looking for a highly organized professional to support the acquisition, management, and reporting of research materials and bibliographic data. This role involves ensuring accurate documentation, metadata quality, and the preparation of detailed reports and bibliographies for internal and external use.
Key Responsibilities:
Research Material Acquisition: Execute targeted searches on various topics, obtain electronic copies of materials from designated resources, and track the status of large sets of acquired items over time.
Database Management: Upload acquired materials into a centralized platform, ensuring accurate metadata entry, including bibliographic and other relevant information, as guided by standardized templates.
Status Updates and Notifications: Provide regular updates on material acquisition progress. For items unavailable electronically due to restrictions, document their status and notify relevant stakeholders.
Metadata Quality Assurance: Perform quality checks on all metadata entries to ensure accuracy and alignment with templates. Support platform configurations to streamline QC activities and improve efficiency.
Reporting and Documentation: Generate and format detailed reports on acquired materials and related metadata for internal and external stakeholders. Collaborate on developing complex reports as needed.
Bibliography and Citation Management: Create topic-specific bibliographies using platform data. Export and format bibliographic records for integration into citation management tools such as EndNote.
Regulatory and Submission Support: Assist in preparing collections of materials for external submissions, ensuring compliance with copyright and documentation guidelines. This may include preparing compressed file packages or verifying permissions for distribution.
Collaboration and Communication: Participate in team meetings to discuss project planning and ensure timely, high-quality delivery of tasks and services.
Requirements:
Bachelor's degree in a relevant field.
Strong experience with relational databases or document review platforms (not an IT role).
Proficiency with citation management tools (e.g., EndNote).
Advanced skills in Microsoft Office (Outlook, Excel, PowerPoint).
Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities in a dynamic environment.
Excellent written and verbal communication skills, with a focus on collaboration and adaptability.
