Job Description:

We are seeking an exceptional Chief of Staff to support a dynamic and successful HNW couple based in Miami, FL. The ideal candidate will be a highly intelligent, detail-oriented, and solutions-driven individual who is adept at managing complex operations while maintaining a high standard of excellence. The Chief of Staff will work closely with an executive assistant and may collaborate with them from time to time to ensure smooth operations.

This role offers a unique opportunity to join a growing team where no two days are alike. This individual will be responsible for overseeing home maintenance, hiring and managing household staff, organizing events, coordinating travel, and handling various financial responsibilities. The role requires approximately 35% travel.

Key Responsibilities:
  • Oversee daily operations and maintenance of their residential property, ensuring all aspects meet the highest standards.
  • Develop and maintain a trusted network of subcontractors, service providers, and vendors.
  • Schedule, supervise, and coordinate maintenance, repairs, and renovations.
  • Negotiate contracts and manage relationships with service providers.
  • Create and manage staff schedules, delegate duties, and conduct staff performance evaluations.
  • Manage payroll, household budgets, and track household expenses.
  • Handle HR tasks including conflict resolution, policy enforcement, and ensuring smooth team dynamics.
  • Oversee bill payments, supplier invoices, and maintain accurate financial records.
  • Prepare quarterly financial reports for the family, highlighting key financial metrics.
  • Plan and execute events, dinners, and parties, coordinating all logistics including vendors, catering, and entertainment.
  • Arrange domestic and international travel, including flight bookings, accommodations, transportation, and activities.
  • Create detailed travel itineraries and handle all necessary travel documentation, such as visas and passports.
  • Manage the couple's calendars, appointments, and correspondence.
  • Take on personal errands and special requests, ensuring privacy and efficiency.
  • Assist with pet care for the couple's two small dogs.

Requirements:
  • Minimum of 10+ years of experience in a similar role.
  • Must be comfortable around dogs and pet care.
  • Proven experience managing large homes, household staff, and property maintenance.
  • Strong network of reliable subcontractors and service providers.
  • Exceptional organizational skills with the ability to multitask effectively.
  • Proficient in managing household finances, including bill payments, payroll, and budgeting.
  • Expertise in event planning, logistics, and execution.
  • Experience in coordinating complex travel arrangements with attention to detail.
  • High level of discretion, confidentiality, and professionalism.
  • Proficiency in Microsoft Office Suite and scheduling software.
  • Valid driver's license and reliable transportation.
  • Flexibility to work evenings, weekends, and holidays as needed.

Location:

Miami, FL. 5 days a week in person.

Schedule:

This is not a 9am-5pm role and does require flexibility to work outside of typical business hours. Some weekends and holidays may be required.

Compensation:

Up to $200k DOE, discretionary bonus, benefits, PTO.
